The Accounting Specialist is responsible for maintaining payroll systems and processing paychecks according to schedule and in the correct amount. Their duties include consolidating timesheet information and entering data into payroll databases, calculating various payroll data, and working with various cross-functional teams as applicable.
Job Duties:
- Maintain invoice records in the QuickBooks program and shared access folders
- Finalize check runs for Executive approvals
- Maintain vendor update forms and W9 forms
- Scan, file, and maintain accounting records
- Enter and create invoices for AR
- File 1099 forms when received from vendors at end of the year
- Assist with W2 maintenance for end-of-year processing
- Contacting vendors for payment processing for payments not processed after 90 days of issuance
- Processing accounting backups on shared folders when needed
- Assist in year-end auditing requests
- Process purchase order requests after approval by Accounting Manager
- Contact clients/vendors about invoices and payments
- Maintain vendor records and performed annual 1099 reporting
- Enforce policies, procedures, and processes as the senior accounting team deemed appropriate.
- Review and post monthly employee expense reports
- Prepare and input journal entries as needed and complete any related analysis.
- Maintain client and vendor relationships
- Bill Reminder emails
- Past Due emails
- Review auditing tasks

- Knowledge of accounting practices, principles, and standardized accounting practices.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

- Acute attention to detail and a dedication to providing high-quality work products
- Willingness to work hard with a positive attitude
- Participate in special projects and initiatives and provide general support to Human Resources Assistant, Chief Operating Officer, and Controller as needed
- Compile general accounting reports and distribute them to various stakeholders
