Position Focus:
Reporting to the Sr. Operations Manager for Molecular, Cellular and Developmental Biology, the Sr. Finance Manager is responsible for managing the department’s financial assistants who are accountable for managing a high volume of financial and compliance-related activities for the department. The Sr. Finance Manager will direct, review, and set priorities for their team's workload.
Partners with the management team in fostering a professional, positive, and supportive work environment that promotes individual accountability, teamwork, and a commitment to developing strong employee relationships. Manages with a high level of flexibility and organization.
Provides transaction oversight, identifying risks and opportunities to streamline, improve and automate processes, while creating efficiencies and actively implementing university and departmental policies and procedures by developing training tools and programs to disseminate best practices across the two department business offices and the wider department community.
Responsible to provide guidance throughout the department business office staff. Primary point of contact for daily departmental financial and compliance questions or issues, escalating to the Sr. Operations Manager as appropriate. Oversees, monitors, and authorizes daily financial transactions per policy. Responsible for financial functions such as payroll verification reviews for students, faculty, and staff, costing allocations, purchasing card transactions and expense reports, sponsorships and consulting agreements, procurement and accounts payable ensuring activities are handled accurately, timely, and in compliance with university regulations and guidelines. Identifies discrepancies and resolves issues, engaging others as needed. Completes university service provider (USP) monthly reconciliation and annual rate calculation for 2 USPs.
Assists the department senior leadership with budgeting, forecasting, and year-end activities, analysis, and comprehensive financial reporting for two large biology departments.
Represents the department on University Committees related to University Service Providers (USPs), procurement and accounting related activities. Researches and resolves problems related to financial matters within and outside the University, including invoice holds and bounces. Performs a variety of accounting, statistical and financial analyses.
Independently responsible for ensuring the completion of the monthly financial review checklist. Assists with building and facility projects and insurance claims as necessary.
Essential Duties:
- Financial Services Manager: Provides comprehensive financial services (educational, research and/or clinical) for which (s)he is accountable. Escalates issues or concerns on financial, operational services and administrative business affairs to the Associate Director or Director, Finance & Administration.
- Financial Analyst and Advisor: With the Director or Associate Director, builds financial plans for the unit. Provides comprehensive financial information, analysis and reporting. Monitors and evaluates use of financial resources; recommends adjustments; takes action as appropriate.
- Risk Manager: Implements and maintains strong internal controls. Provides reasonable assurance of effective, appropriate resource use; accurate financial information; adherence to contractual obligations and agreements, policies, procedures, and external regulatory requirements.
- University Citizen: Connects the unit and University through communication, alignment of priorities, and active participation in University administrative priorities.
- Talent Manager and Developer: Effectively attracts, retains, and develops high quality talent. Collaborates with HR partners and Director in selection, performance management and career development processes.
- Strategic Resource: Contributes to shaping the unit's financial and operational priorities and the strategic planning process.
Required Education and Experience:
Bachelors’ degree and 4 years of demonstrated experience or equivalent combination of education and demonstrated experience.
Required Skill/Ability:
- Proven ability to prioritize to meet competing responsibilities. Demonstrated success in managing projects and deadlines with exceptional attention to detail and accuracy.
- Proven ability to train and manage a team, and provide a high level of service to faculty and staff in a leadership role.
- Outstanding communication skills including but not limited to written, verbal, and presentations.
- Ability to quickly adapt and thrive in a changing environment, accepting of new roles and willingness to meet challenges as they may come.
- Excellent interpersonal skills along with negotiation and consensus building skills.
Preferred Education, Experience and Skills:
Strong Workday Financial experience, expert knowledge of procurement functions, strong knowledge of sponsored research cost principles.
