The Director of Equipment Management and Accounting provides administrative oversight for all equipment related functions and processes within the Office of University Property Accounting and Reporting and provides technical expertise for generating fixed asset queries, schedules, and reports.
DUTIES AND RESPONSIBILITIES
- Administer all equipment related processes and procedures for the University, including the planning and development of improved operational processes as needed.
- Administer the hiring, training, and supervision of all equipment operating staff within the Office of University Property Accounting and Reporting across all equipment functions and all campus locations.
- Direct and supervise managerial staff in University Property Accounting and Reporting, including two Assistant Directors of University Property Accounting and Reporting.
- Assist the Assistant Controller to administer and formulate policies and procedures governing the administration and control of University equipment on all campuses.
- Serve as liaison with campus administrators involved in property administration and control, and in collaboration with the Assistant Controller, serve as liaison with State of Illinois offices that regulate State property.
- Represent University Accounting and Financial Reporting on cross-functional teams requiring property accounting expertise.
- Provide advice, counsel, and other aspects of superior customer service to all campuses and University administrative staff regarding property accounting and management procedures and practices.
- Assure completion of reconciliations to maintain the integrity of Fixed Asset and General Ledger equipment transactions and balances, including appropriate capitalization and calculation of depreciation in accordance with state and university policy.
- Administer data management needs for University Property Accounting and Reporting, including development and administration of data base table queries as needed to obtain needed data for reports, reconciliations, and analytical reviews.
- Determine the need for adjustments to Banner Fixed Asset equipment records including preparation, review, and approval of adjustments to records through Banner Forms and SQL modification requests to Business Information Systems and AITS.
- Responsible for preparation of schedules and reports as needed, including year-end supporting schedules for equipment activity in support of the annual financial statement and audit and other required external reporting.
- Exercise thorough working knowledge of property systems, including the Banner Fixed Asset, FABweb, and warehouse inventory systems, as well as knowledge of rules, regulations, and legislation governing property accounting and control for governmental institutions of higher education.
- Assist the Controller and Assistant Controller as requested, and perform other duties as assigned.
QUALIFICATIONS
- Bachelor's degree in accounting or a related field
- Seven to ten years of experience in advanced accounting responsibilities
Preferred:
- Master's degree in business administration or a related field
- Two to three years of experience in property accounting and control
- Experience with Microsoft Access
- Experience with property software applications
- Experience working in a higher education institution, preferably the University of Illinois.
KNOWLEDGE AND EXPERIENCE
- Demonstrated ability to use discretion and independent judgment, to manage and supervise staff, and to handle complex projects.
- Experience with the Banner integrated system (accounts payable and general ledger) or other ERP system.
- Knowledge about University or other large, decentralized accounting processes and procedures.
- Ability to prepare financial and other business-related reports utilizing Microsoft Excel and Microsoft Word
- Strong interpersonal skills
- Excellent verbal and written communications skills
- Multi-tasking capability to meet stringent deadlines and produce accurate, detail-oriented work.
