General Description:
Under the supervision of the Billing Supervisor, the Billing Specialist is responsible for the accurate and timely processing of billing for customer accounts. This role emphasizes ownership of tasks, attention to detail, and collaboration within the billing team and across departments. The Billing Specialist will contribute to process improvements, uphold billing accuracy, and ensure client satisfaction through diligent work.
Key Responsibilities:
• Billing Accuracy: Reconcile daily transportation charges on orders for all customer accounts. Review computer-generated reports and daily driver activity to verify movement and address discrepancies proactively. Ensure all billing is completed within three days after the date of service and meet monthly closing deadlines.
• Collaboration & Communication: Act as a point of contact for resolving billing discrepancies. Communicate effectively with the sales team, operations, and other departments to ensure accurate billing and maintain client satisfaction. Engage in regular check-ins and team meetings to discuss challenges and improvements.
• Process Improvement: Participate in department rounds and team huddles to identify opportunities for process enhancements. Suggest improvements to the billing process, leveraging firsthand knowledge of recurring issues or inefficiencies.
• Autonomy & Responsibility: Take ownership of assigned tasks and manage day-to-day billing activities with minimal supervision. Demonstrate a strong sense of responsibility for the accuracy and completeness of all billing transactions.
• Client Relationship Management: Understand the impact of accurate billing on client relationships and the company’s reputation. Strive to minimize billing errors to enhance client satisfaction and reduce the need for time-consuming corrections.
• Team Collaboration: Support a positive work culture by participating in team collaboration efforts, recognizing peers’ achievements, and contributing to a supportive environment. Assist in group learning opportunities and peer reviews to promote continuous improvement within the team.

• Accuracy of Billing: Consistently maintain high accuracy in billing operations, with minimal errors requiring correction.
• Timeliness: Complete billing within the established timeframes, particularly within three days post-service and by monthly closing deadlines.

• Proactive Problem Solving: Demonstrate initiative in identifying and resolving billing discrepancies and process inefficiencies.

Qualifications:
• Education: High school diploma or equivalent required.
• Experience: Minimum of 1 year of experience in accounts receivable or billing. Experience in transportation or service industries is a plus.
• Skills: Strong attention to detail, organizational skills, and ability to manage multiple tasks under tight deadlines. Proficiency in basic math and data entry. Excellent oral and written communication skills.
• Technical Proficiency: Familiarity with billing software, Microsoft Excel, and data entry systems. Ability to quickly learn new software tools and processes.
