Job Summary
The client is seeking an experienced part-time Events and Support Analyst based in Chicago to assist with seasonal event production from concept through completion. The ideal candidate will have a passion for events, creativity, a keen eye for detail, and a commitment to executing high-quality events. This role requires proficiency in all areas of event planning, including budget management, venue scouting, logistics coordination, and best practices for event execution. The candidate should be able to manage day-to-day details while employing big-picture thinking to deliver exceptional customer experiences.
Key Responsibilities
- Oversee all aspects of event planning, adhering to strict deadlines and budget constraints.
- Build and maintain strong relationships with vendors, venues, and both internal and external stakeholders.
- Collaborate with internal teams, clients, and vendors to define event requirements, acting as a liaison to senior executives and industry leaders throughout the planning process.
- Source resources, conduct site visits, and lead pre-event meetings to guide staff in making informed decisions about event design.
- Plan and coordinate event logistics, including contract negotiations, guest list management, venue preparation, presentation materials, catering, entertainment, transportation, equipment, decor, and marketing materials.
- Ensure consistent, high-quality service by managing on-site preparations, production, and event breakdown.
- Troubleshoot any challenges that arise on the day of the event to ensure seamless execution.
Required Skills and Qualifications- Proven experience in event planning or coordination.
- Proficient in Microsoft Office tools (Word, Excel, PowerPoint).
- Strong interpersonal and communication skills.
- Ability to cultivate and maintain positive business relationships.
- Excellent organizational skills with a focus on multitasking, time management, and attention to detail.
- Ability to handle pressure and make sound decisions quickly.
Preferred Skills and Qualifications- Familiarity with event management software such as Stova, EMS, or Cvent.
- Flexibility for occasional domestic travel as needed.
- Working knowledge of airline.
