The Project Controller is a member of the Financial Services team and provides office support to staff and management team. The Project Controller is responsible for working with Project Managers and Clients. The Project Controller reports directly to the Senior Project Controller or Operations Controller and works with all members of the staff and senior management.
Note, in this description “Vision” refers to Deltek Vision ERP Project Management software.
ESSENTIAL FUNCTIONS
Administrative
- Assist Operations Controller and/or Administrative Manager as needed.
- Delegate tasks to Administrative Assistant (if applicable).
- Attend staff meetings.
- Assist with project file management and organization.
- Follow established accounting practices and standards.
- Delegate and coordinate pulling backup for invoices, email and electronic filing.
- Process invoices in Vision, maintain Vision notes for email preferences, special conditions, etc.
- Manage Accounts Receivable collections, provide information, update accounts receivable comments in Vision, provide invoice copies and statements as needed.
- Assist Operations Controller with project accounting month end tasks.
Project
- Utilize Vision to manage client and project set-up and billing system updates.
- Review awarded contracts for project set-up.
- Prepare billing invoices and process billing changes requested by Project Managers after submission of final invoices.
- Run project budgets and reports in Vision.
- Verify final invoices format for accuracy.
- Print and mail or email final invoices.
- Process billing term changes, time transfers, project status updates and transfers.
- Assist Project Managers with information to complete invoicing.
- Provide project information to Project Managers and clients.
- Print and distribute monthly project reports.
- Prepare individual reports for Project Managers and/or client as requested.
- Make client collection calls.
- Issue client statements of account.
- Advanced skill using Vision to manage client and project set-up, along with billing systems updates.
- Project Certificate of Insurance management and tracking.
Understanding of the following technical skills
- Microsoft Office suite and Deltek Vision (Advanced Understanding)
- Basic Accounting principles
- Basic Knowledge of the A/E industry business standards and procedures.
- Understanding of A/E industry, planning and landscape architectural terminology.
- Knowledge of Project Administration, Budgeting, Billing, and similar tasks.
EDUCATION
- Associate’s Degree required, Bachelor of Business Administration, Accounting, Finance; or related preferred.
EXPERIENCE
- 3 years of A/E/C industry experience at small to mid-sized private-practice A/E/C firm.
- Experience with Deltek Vision software.
