Summary:
The Payroll Systems Analyst reports to the Manager of Payroll. Under general supervision and within Brown University Health policies and procedures, supports a variety of payroll systems interfaces and reports. Oversees the interfaces between the payroll systems with the human resources system and other external customers/vendors ensuring timely and accurate data is used for processing and reporting. May act as the liaison for the payroll department with Brown University Health IS or system vendors/consultants to ensure understanding of system changes or addressing various errors.
Responsibilities:
- Supports a variety of payroll systems and modules including time and attendance, staff scheduling, general ledger, employee self-service portal, payroll's intranet page, and other numerous interfaces and reports.
- May process Brown University Health payrolls utilizing automated time entry system and payroll system. Generates and distributes time entry and payroll reports to other users and departments.
- May create new reports or update existing reports as needed using established department guidelines with ad-hoc reporting tools under the direction of management. Report distribution can be manual, also seeking opportunities for automation when appropriate.
- Researches, responds to, and corrects within established limits of authority reported data inaccuracies or incidents within time entry and payroll systems interfaces, files, and reports.
- Receives input files from multiple sources like the HCM system (Infor Lifeworks) which must be audited and loaded to the payroll system. All errors are to be reviewed and corrected as appropriate and within authorized scope. Communicates any questionable or erroneous information to payroll management immediately for further action.
- Acts as the liaison between the payroll department and IS or system vendors/consultants to ensure understanding of system changes or addressing various errors.
- Documents internal procedures: correlates requirements to system functionality, develops recommendations for changes to operating procedures that result in automated solutions that are logical, economical, practical, and responsive to users' needs.
- Participates in system testing activities, upgrade projects, etc. as assigned by payroll management. Testing assignments may include quarterly payroll calculation patches from ADP; payroll calculation tests require validation of test data ensuring payroll calculations are accurate.
- Participates in and/or coordinates payroll-related year-end activities to guarantee timely processing of internal procedures and submission of year-end documents prior to close of calendar year.
- Ability to multitask, prioritize, and work collaboratively in a high-pressure, high-volume team environment or individually while maintaining a professional attitude.
- Participates as a team member for payroll or time and attendance projects. Participates on councils, quality improvement teams, affiliate conversions, and other such committees as required.
- Maintains and enhances expertise and skills through participation in appropriate education and training opportunities related to payroll, human resources, and time entry systems and computer operations.
- Handles confidential information pertaining to all employees, participants, and departmental communication with sensitivity and discretion.
- Maintains quality assurance, safety, environmental, and infection control in accordance with established Brown University Health policies, procedures, and objectives.
- Performs other related duties as required.
BASIC KNOWLEDGE:
Associate degree in computer sciences, business administration, related field, or equivalent work experience. American Payroll Association Certification Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.
EXPERIENCE:
Requires 3 to 5 years of related experience, preferably with a fully automated payroll system. Experience must demonstrate strong analytical skills and ability to complete high-priority projects and activities with time-sensitive deadlines. Must have mathematical aptitude to perform calculations and data analysis; proficiency in development and maintenance of spreadsheets, databases, and Microsoft Office suite; experience must demonstrate working knowledge of automated payroll processing systems preferably with ADP Enterprise and ADP v6 System and UKG/Kronos Workforce Dimensions application. Good interpersonal skills are necessary to interact effectively with various levels of personnel in discussions and explanations of complex information and to gain cooperation with individuals and groups while effecting timely progress. Proficient oral and written communications are needed to effectively perform duties.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
Normal office conditions with frequent use of personal computer. Work will be performed remotely with occasional in-office days (remote hours 90 to 95% of time).
INDEPENDENT ACTION:
Incumbent functions independently within a broad scope of department policies and practices; generally refers specific problems to Manager of Payroll only where clarification of system policies and procedures may be required.
