To support the director and central administration in analysis of and recommendations on space related issues, strategic space planning, major space allocation planning and coordination, and space utilization statistical analysis.
Essential Functions
- Administrative Support (30%)
- Support the director and central administration by providing analyses and recommendations on space related issues and decisions.
- Attend bi-weekly meetings with Director and Associate Academic Vice President to discuss and manage academic space issues.
- Assist in supervising and managing the Office of Space Management (office policy decisions, student salaries, personnel issues, budgeting, improving office effectiveness, etc.) and serve as office representative in the absence of the Director.
- Manage the office computer systems and oversee new technology developments and migrations.
- Set and administer/manage annual budget for church use and project future budgets.
- Strategic Planning (25%)
- Develop and maintain a strategic space plan which provides adequate facility resources for all university programs and units.
- Forecast and develop strategies to accommodate the long-term space needs of all campus colleges, departments, and programs.
- Analyze university policy decisions, projecting the effect on facility resources, and define space strategies for implementing the goals of the university administration.
- Represent Space Management in planning for new campus buildings and major remodeling projects and attend project planning meetings.
- Provide room numbering for new building plans.
- Major Space Allocations (20%)
- Provide space summaries and planning assistance for major renovation projects to ensure resource optimization.
- Represent Space Management and attend project planning meetings.
- Evaluate space needs and projected changes.
- Coordinate large-scale and complex relocations, vacancies, and occupancies of project spaces.
- Review/analyze project planning documents/floorplans.
- Analysis of Facilities (15%)
- Collect and analyze space utilization data for all campus facilities.
- Monitor enrollment histories and trends, space projections, and space standards.
- Develop strategies for optimizing utilization of all space resources on campus.
- Help develop and improve computerized analysis tools for the office.
- Committee/Professional Association Involvement (10%)
- Chair of the JFSB Building Committee.
- Chair of the WVB Building Committee.
- Physical Facilities Scholarship Committee.
- Member of Society for College and University Planning.
Education/Experience
Minimum education/experience required: Bachelor's degree, preferably in a related field.
Preferred: 4 years or more work-related experience.

Additional Comments
Accommodating space needs for dynamic and growing departments and programs within a limited amount of space creates a constant challenge. As the clearinghouse for all space allocations, our office must evaluate the space needs of each department on campus relative to the university as a whole. Requests which may greatly benefit a department but are not consistent with the direction of the university must be rejected. This is often very difficult in terms of human relations.
We are also charged to ensure the effective utilization of space. This often requires challenging occupants (or their department heads) on the use of certain rooms or areas allocated to them. Although all space belongs to the university, many feel a sense of ownership as they occupy various areas of campus. To retrieve underutilized space for the university usually involves an emotionally sensitive situation. Relocating departments or groups is also somewhat challenging. Beyond the difficulty of planning and coordinating a major series of moves, this position must also deal with the emotions of all those being affected by the move. The space neutral mandate from the Board has greatly intensified the need to more critically evaluate space requests, more keenly monitor utilization, and more carefully plan for the effective use of the university's space resources.
Many times, facility availability has a direct impact on program decisions. While the philosophy is for programs to drive facility decisions, there are times when the opposite occurs. Sometimes program decisions are made based on the judgement of whether the stated space needs are valid relative to other university needs.
All of these issues can at times become very emotionally charged. In spite of the necessity to engage in tasks that may be uncomfortable, it is imperative to uphold amicable relationships with all members of the campus community in order to ensure continued effectiveness.
