The primary focus of this position will be working with our customers and vendors as our primary AR/AP contact and have primary weekly payroll processing responsibility. You will also function as the primary receptionist for incoming phone calls along with other office duties. The successful candidate will work closely with existing team members, customers and vendors with the goal of maintaining strong business relationships.
Responsibilities:
- Daily/Weekly/Monthly AR/AP Duties; Receive and enter customer payments, create customer invoices, create customer statements, process and pay vendor bills, send AR collection notices, scan documentation into QuickBooks accounting system, process vendor lien waivers, process customer and vendor credit applications.
- Daily/Weekly/Monthly Banking Duties; daily transaction download, credit card payment processing, process bank deposits, bank reconciliation, credit card payments and reconciliation, mortgage payment and reconciliation, LOC payment and reconciliation, process intercompany payments, maintain office petty cash, process simple IRA contributions
- Daily/Weekly/Monthly Payroll, Insurance and Tax Duties; process weekly payroll, process service hours spreadsheet, process payroll tax payments, create employee reimbursement checks, submit quarterly sales tax reports, communicate with outside accounting firm, communicate with insurance agent for processing of Certificates of Insurance, prepare payroll reports for Worker’s Compensation annual audit, maintain employee files.
- Daily/Weekly/Monthly Misc. Duties; receive and sort mail, order office supplies, in-house seminar preparation, communicate with vendors to maintain and order office equipment, maintaining office calendars.
Requirements:
- 3-5 years’ experience in an office management and/or associate accounting role.
- Proficiency with QuickBooks Enterprise Desktop and Microsoft Office software.
- Ability to perform basic mathematical functions.
- Above average attention to detail.
- Willingness to take direction.
- Must be able to multi-task in a high-volume environment.

Job Type: Full-time
Pay: $60,000.00 - $80,000.00 per year
