Pacific Clinics serves children, transitional age youth, families, adults, and older adults. We offer a full range of mental and behavioral health services, foster care and social services, housing, continuing adult education and early childhood education programs to Medi-Cal eligible individuals and families throughout various counties.
JOB SUMMARY
Scheduled Hours per Day: Monday through Friday from 8am-4:30pm
Under the direction of the Accounts Payable Supervisor, the Senior Accounts Payable Specialist is responsible for all accounts payable administrative functions for specialized accounts that are highly visible within the organization. The functions include managing the full accounts payable cycle from receipt of invoices to payment, including coding invoices, matching purchase orders, obtaining approval, and entering the invoices into the accounting system.
RESPONSIBILITIES AND DUTIES
- Processes specialized payments for high-visibility programs for the Agency that may include client rents, client stipends, facility rents, foster care parent payments and HeadStart invoices. Works closely with the respective agency employees who manage these programs to ensure timely payments and adherence to policies.
- Serves as a resource to other AP Specialists, using prior experience and knowledge to help solve more complex issues.
- Prepares payment runs including printing checks, sending ACH and wire payments and transmitting positive pay files.
- Prepares 1099 and other annual IRS filings.
- Processes corporate card expenses ensuring proper coding and compliance with agency policies.
- Responding to AP tickets as they are assigned and ensuring that tickets are completed in a timely manner.
- Maintaining relations with AP partners including employees and vendors.
- Reconciling problem accounts and working with the AP Supervisor to create solutions.
- Aiding AP Supervisor in invoice accruals during month-end close.
- Assist in gathering support documents for audits.
- Assist in ad-hoc projects as needed.
- Attends and participates in staff meetings to provide input towards program development and staff training.
- Interacts with other internal programs, clinical/support staff and external sources such as school or community personnel as applicable and acts as a resource for department staff.
- Required to report to work on time and maintains reliable and regular attendance.

MINIMUM EDUCATION AND/OR EXPERIENCE
- At least five (5) years of experience in accounts payable.
OTHER SPECIFIC REQUIREMENTS
- Knowledge of specialized accounts payable principles, policies and procedures.
- Displays good verbal and communications skills.
- Ensures that work product is accurate.
- Ability to work in a team environment and on an individual basis.
- Possess time management and strong organizational skills with ability to prioritize job tasks.
- 10-key by touch and strong Microsoft Excel skills.
- Ability to work effectively with diverse staff and Agency demographics.

DRIVING PRIVILEGES
- May be called upon to drive on agency business. Needs acceptable MVR and appropriate insurance coverage.
Required to drive agency vehicle. Must have clean MVR, appropriate insurance coverage, and attend agency driver training.
TRAINING
Needs to successfully complete all required agency training indicated for this position.
