Job Summary: Under direct supervision, the Associate Accountant handles an assortment of financial activities to include the preparation and processing of invoices using the Zoo's Point-of-Sale (POS) system, cash receipts, vendor invoices, and journal vouchers. This position also assists in the preparation of reports and other accounting related responsibilities such as reconciliation of revenue and balance sheet accounts. The Associate Accountant will also support cash room and other office positions.
Work Schedule: Employee must have flexibility to work days and some weekends as required.
Job Duties:
- Use the Zoo's Point-of-Sale system, issue invoices, record revenues, track payments, reconcile A/R activity with General Ledger, generate past due statements, refer customers for collections, and prepare related reports.
- Work with staff to purchase, receive, and process payments for goods and services. Serve as a main point of contact for help at the Zoo on the County's financial system.
- Ensure compliance with processes and controls by providing thorough and detailed yet respectful communication with Zoo staff, Accounts Payable, Procurement, vendors, school groups, and customers to facilitate accurate processing of orders and payment of invoices.
- Identify contracts expiring in six months, request updates from responsible staff, verify contracts have active COI's before payment, and process payment requests within contract guidelines.
- Verify credit card procedures are followed, address issues as they arise, and prepare entries to allocate costs.
- Assist School Groups and staff on the Zoo's POS system. Identify updates needed within POS to facilitate utilization by Zoo Staff.
- Count cash, balance daily receipts, chargebacks, prepare reports, provide change, and input cash receipts and deposits into Infor.
- Assist in various tasks as assigned and special projects. Examine fiscal documents thoroughly and apply to the appropriate accounts.
- Review correspondence, respond and prepare information as needed for special requests. Attend meetings generally to evaluate processes and generate improvements.
- Operation of Equipment, Tools and Machinery - Ability to safely and properly operate Golf Cart, PC, Calculator, Coin Sorter, Bill Counter, Coin Wrapper, and POS Equipment.
- Perform other duties as assigned.
Minimum Requirements:
- Current resident of WI required.
- Valid State of Wisconsin Driver's License required.
- Associate or higher degree in Business, Accounting or closely related field required or at least three (3) years of relevant work experience in Accounting.
- At least two (2) years or more work experience in Financial Software or Accounting required.
- Intermediate knowledge of all related computer and software applications, such as Microsoft Word and Excel required.
Preferred:
- Advanced knowledge of Accounting software (INFOR), POS systems (Focus Point & Gateway Galaxy) preferred.
