Essential Duties and Responsibilities
Accounting & Finance Assistance
- Acquire and route invoices in TimberScan
- Manage MEO payables in box
- Process and manage Check Requests
- Assist AP & PA teams with weekly check runs
- Monthly follow up of outstanding invoice approvals
- Mail/overnight weekly check runs
- Distribute incoming accounting mail including scanning and email distribution
- Maintain vendor W-9 collection and electronic management
- Review AP vendor statements and research as needed
- Assist PA team with Preliminary Notice management in GC Pay as needed
- Daily recording of incoming deposits
- Management of stale checks
- Cash management recording of benefit invoices
- Assist in monthly bank reconciliations
- Assist with weekly M-1 processing as well as monthly processing of FasTrak and fuel cards
- Distribution and recording of monthly Home Depot Statement
- Assist in recording of weekly expense reports
- Assist in monthly Visa credit card reconciliation
Administrative Assistance
- Provide administrative support for the CFO, VP of Finance, Controller and Accounting Manager
- Enter weekly timecards for select Accounting and Finance team members
- Maintain credit card receipts and monthly coding of credit card charges for various team members, including expense reimbursements
- File and general administrative duties as needed
- Support CFO on Truebeck Foundation
- Support Contracts and Insurance Supervisor on Preliminary Notice management as well as other misc. insurance items
Knowledge, Education, and Experience
- High school graduate or equivalent
- Some formal accounting education at the college level (AA or higher) a plus
- Three or more years of experience in an accounting/admin position, preferably in construction
- Knowledge of office procedures
- Strong proficiency in Microsoft Word, Excel, and Outlook
- Strong computer skills including computerized accounting software and Access
- Experience with Sage 300 (Timberline), GCPay and Miter (a plus)
- Able to read and interpret data and input invoice descriptions accurately
- Able to complete repetitive tasks

Physical Demands and Work Environment
The incumbent is required to work most days at the main office and typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Incumbent may encounter frequent interruptions throughout the work day. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 20 pounds.

Range of base pay is $50,000-$75,000.
