Summary:
- Reporting directly to the Assistant University Registrar, the Transfer Credit Specialist is responsible for the evaluation and processing of transfer credit for multiple campuses at West Coast University.
- The Transfer Credit Specialist will receive, evaluate equivalency against internal transfer credit equivalency system (TES) and, when appropriate, will recommend equivalencies to the University Chair of General Education.
- This position will maintain the University's Transfer Equivalency System and evaluate transfer credit in a timely fashion.
- This position will act as the liaison between the Transfer Credit Evaluation team, Campus Registrar and Admissions staff.
Responsibilities:
- Receive, evaluate, and document course equivalency for transfer credit requests for all incoming or returning applicants to the University. Regular travel to a campus location may be required to open mailed transcripts.
- Research institutions for acceptable accreditation per WCU policies and guidelines.
- Research various institutions for academic programs and curriculum to determine equivalency for establishment of transfer credit equivalencies.
- Process transfer credit requests in a timely fashion adhering to accreditation, calendar systems, credits, grades, and, if necessary, course recency in accordance with established policies.
- Maintain exemplary internal/external communication with students and departments (admissions, registrar, academics, University Administration).
- Enter all transfer credit decisions in Student Information System (Anthology Student Nexus) and maintain official digital records of transcripts in document management system (Perceptive Content).
- Evaluate CLEP, AP, International, and Military credits per existing policies and procedures.
- Coordinate with Assistant University Registrar in preparation of reports of Transfer Credit timing, effectiveness, and analysis for University Administration.
- Attend meetings and any required training. Continuously review and identify existing equivalencies and, when required, send ambiguous or potentially outdated information to University Dean of General Education.
- Maintain strict confidentiality of student information in compliance with the Family Education Rights and Privacy Act (FERPA).
- Adhere to University policies and procedures and conduct job responsibilities in accordance with the standards set out in the University's Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and state laws, and applicable professional standards.
- Maintain regular and timely attendance, report to work as scheduled and assure time worked and/or time-off is recorded properly.
- Maintain confidentiality of all student, associate, and/or University information as required.
- Exercise care, proper use and maintenance of department equipment and supplies and identify unsafe conditions and make appropriate adjustments.
- Maintain order, cleanliness and safety at work.
- Perform other duties as assigned.
Required Experience and Skills:
- Bachelor's degree is required.
- Three to five years of related experience.
- Demonstrated knowledge of student information systems and development of reports as they relate to student records and registration.
- Experience with MS Office.
- Knowledge of applicable databases and computer application systems to supply the most accurate information, reports and projections.
- Knowledge of state, federal and local laws/regulations relating to programs, governmental compliance and other regulatory standards such as WASC, BPPE and other accreditation standards.
- Ability to interpret and apply administrative and departmental rules, policies, and procedures.
- Ability to compose correspondence independently.
- Ability to compile and maintain complex and extensive records and files for a department.
- Ability to represent the department using good judgment, poise, tact, and diplomacy.
- Ability to multi-task and prioritize; demonstrate excellent organizational skills; follow through and attention to detail.
- Ability to work independently with individuals at all levels of the organization.
- Ability to exercise good customer service skills.
- Ability to work effectively in a highly ethnic and culturally diverse student and associate community.
- Ability to demonstrate professional written and verbal communication and interpersonal skills.

- Ability to maintain confidentiality of all associate, student and administrative information.
