JOB FUNCTION / SUMMARY:
Supervises and supports accounts payable staff in payment of vendor invoices, filing and payment of backup withholding, and 1099/1098 reporting by performing the following duties.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Manages accounts payable process to ensure accurate and timely invoice processing
- Reviews and approves employee expense reimbursements, where applicable
- Ensures use tax items are identified
- Directs activities of department associates to assist departments and/or individuals with special projects, as needed
- Ensures 1099's are prepared accurately and timely for all required vendors
- Prepares periodic reports for management
- Reviews and approves associates work, where applicable
- Maintains high degree of quality customer service to internal and external customers
- Periodically coordinates collection of information for auditors, examiners and responds to inquiries
- Identifies and resolves problems and inconsistencies, determining appropriate corrective procedures
- Creates and/or revises work procedures, prepares work schedules and manages workflow
- Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures
- Studies and standardizes procedures to improve efficiency of the accounts payable processes
- Maintains harmony among associates and resolves grievances.
- Provides backup support to supervised associates.
- Cross-trains in other areas within Corporate Procurement department to provide support, as needed
SUPERVISORY RESPONSIBILITIES:
Directly supervises the Accounts Payable department and associates. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws; Responsibilities include interviewing, hiring, and training associates; planning, assigning, and directing work; appraising performance; rewarding and disciplining associates; addressing complaints and resolving problems.
MINIMUM REQUIRED EDUCATION, EXPERIENCE & KNOWLEDGE:
- Bachelor's degree from a four-year college or university; two to four years related experience and/or training; or equivalent combination of education and experience
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
- Ability to write reports, business correspondence, and procedure manual
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
- Ability to apply concepts of basic algebra and geometry
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
- Ability to learn or knowledge of Microsoft Office products including Microsoft Word, Excel, Access and PowerPoint
- Ability to learn or knowledge of Outlook email program
- No specific certifications, licenses, or registrations are needed to satisfactorily perform this job.

- Ability to work under stress and meet deadlines
- Ability to operate related equipment to perform the essential job functions
- Ability to read and interpret a document if required to perform the essential job functions
- Ability to travel if required to perform the essential job functions
- Ability to lift/move/carry approximately 10 pounds if required to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department/division an “undue hardship” then the employee must be accommodated; hence omitting lifting/moving/carrying as a physical requirement.
