W.G./Welch Mechanical Contractors, LLC is a client-oriented mechanical contractor that provides first class plumbing, heating, and air conditioning services within the immediate Maryland-Virginia-Washington D.C. metropolitan area.
Primary responsibilities:
- Act as a key business partner for designated operational functions, participate in business strategy and process teams, proactively provide guidance, status and assistance.
- Identify solutions, process improvements, and resourcing requirements to maximize team efficiency.
- Monitor AP mailbox daily and route invoices appropriately.
- Become expert at comprehension and review of AIA applications.
- Enter invoices and initiate approval workflow.
- Ensure back up for invoices is attached in paperless document system.
- Maintain subcontractor Certificate of Insurance.
- Respond to vendor inquiries in a timely and professional manner.
- Obtain appropriate lien waivers as payments are made weekly.
- Verify vendor balances by reconciling monthly statements.
- Reconcile and Record all credit card transactions from employee statements monthly.
- Reconciles expense and other financial reports with account balances and other office records.
- Facilitates payment of vendors (primarily electronic), which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
- Assists with accounting records and ledgers by reconciling monthly statements and transactions.
- Records entry of, verifies documentation for, and distributes petty cash.
- Become sales tax expert for DC, MD and VA.
- Calculates and reports sales tax based on paid invoices.
- Review and reconcile 1099 vendors and issue and file 1099s annually.
Qualifications:
- Strong Organizational skills and Attention to Detail.
- High level of ethics and integrity.
- Proficient knowledge of Microsoft Word and Excel.
- Sufficient knowledge of mathematics including the ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
- Ability to schedule and prioritize all work assignments.
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of diverse individuals.
- Ability to enforce and abide by all company rules and procedures.
- Experience with Sage 300 CRE a plus.
- Knowledge of Construction Accounting a plus.
Supervisory Responsibility:
This position manages 1-2 direct reports requiring monitoring of their assigned tasks and conducting reviews at minimum annually.
