Job Description:
The Alchemy 365 Operations Manager is a multifaceted role that is responsible for delivering high caliber customer service to our community of athletes and is also the gatekeeper of all back-end operational tasks that allow the business to operate at a high level.
This individual leads with a customer first attitude, is highly organized, able to manage multiple projects at one time, takes on tasks efficiently and is always looking for ways to streamline processes. Responsibilities:
Customer Service and Account Management
- Serves as the primary contact for any inquiries related to our Athletes, spanning all Alchemy studios.
- Manages alchemy365.com live chat, info@alchemy365.com inbox, and all Alchemy 365 studio inboxes.
- Ensures the delivery of a positive digital customer service experience consistent with Alchemy 365 standards.
- Manages all membership cancellation requests and completes cancellation calls.
- Processes all account needs including member hold requests, switching clients membership tiers upon request, processing refunds, and referral credit.
- Manages the Alchemy 365 insurance kickback program through NICHA.
- Proficient at communicating Alchemy 365’s Terms and Conditions.
- Has a strong understanding of the Alchemy 365 organizational structure and can disseminate or escalate information through appropriate channels.
Scheduling
- Intakes and reviews time-off requests from studio employees, across all Alchemy locations.
- Ensures all shifts are filled.
- Builds and delivers all monthly schedules.
- Manages payroll goals.
- Uploads class schedules to MBO.
- Updates and manages Alchemy 365 schedule in When I Work.
HR
- Manages employee onboarding and offboarding.
- Enrolls employees in Ease and ADP.
- Runs payroll.
Facility Support
- Owns coordination of major facility upkeep (i.e. HVAC maintenance, painting touch-ups, equipment restocking).
- Responsible for ordering studio supplies and managing inventory levels.
Strategic Thinking
- Participates in regular meetings with the company’s operations team and collaborates with other employees across the country to advance company objectives.
- Attends monthly accounting and finance review meetings.
- Runs, analyzes, and reports on key performance indicators.
Required Skills and Experience:
- Motivated and passionate about health and fitness
- Possesses natural skills for hospitality and curating an excellent customer experience
- Strong written and verbal communication skills; professional phone etiquette
- Comfort with easing customer conflict through conversations and correspondence
- Ability to work independently with the confidence to make decisions and course correct as needed
- You are a complete task master and time management is a natural skill
- Ability to multi-task and coordinate ongoing projects, plans, and people
- Experience working positively with teams
- Strong entrepreneurial and resourceful problem-solving attitude
- Strong attention to detail and organizational skills
- Comfortable learning new software, such as MindBody, Hubspot, When I Work, Ease
- You believe in the Alchemy product and are a true ambassador
- Customer Service, HR, and Technology experience required
- Experience reading financial statements desired but not mandatory
