POSITION MISSION
Manage and administer lease obligations and real estate functions for approximately one-half of the portfolio.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Update Tango/lease database including legal documents, key dates, updating contacts (notice, payments, property managers, etc.) for Accounting/AP, Facilities, Risk (INS/COI). Update clauses, renewal options, and rents (recurring and non-recurring, calculate/enter % rents).
- Process/resolve landlord property issues including field issues from stores or managers.
- Determine responsibilities and players to resolve issues. Communicate with stores/Area Managers/Facilities Manager/property managers and follow for resolution.
- Coordinate issues with subtenants and internal teams, as needed.
- Support Lease Accounting Team as needed on subtenant rents.
- Process Estoppel and SNDA. Receive documents/communicate with property managers/landlords. Ensure document format and review process. Review for accuracy as pertain to the Lease specifics making any changes (red line) and forward to Legal for review/execution. Post executed documents to Harbor Flex/Print executed documents for files.
- Scan all Real Estate documents. Review for full and complete execution, scan and save. Ensure compatible to recognize text and post to Tango.
- Abstract and input all new store lease data. Read documents, abstract to Tango, communicate pertinent requirements to appropriate business teams (Risk/Construction/Utilities).
- Acquire all landlord contact/notice/payment info and enter to Tango.
- Execute Commencement Agreement (the process is long for all details).
- Track key lease components, provide COI to LL, LL welcome letter, LL contact & utility form, possession document, track and collect TI, Update Tango for open.
- Track dates related to closing/expirations and discontinue any related services (utilities/trash/etc.). Communicate with associated parties such as Lease Accounting Team, facilities team, Area Managers, Landlord/property managers.
- Provide Possession Transfer form to Facilities & track to receipt of form and post to Tango. Track return of Security Deposits, deductions and Communicate to Accounting group. Confirm all needs are completed and close out Tango.
- Provide regular maintenance of lease files.
- Request/Issue insurance certificates for new store set up, changes from property managers/landlords to Risk group, follow up on changes and send to initiating party. Manage annual COI changes with reissue (with Risk).
- Manage oversight and coordination of Tenant Improvement allowances. Communicate Lease requirements to Construction, communicate with Landlord on any special handling as it relates to the reimbursement request. Track requirements for reimbursement (dates/requirements/amendments). Initiate request for reimbursement with Construction documents.
- Provide guidance and tracking of Lease required Remodels and Refreshes. Work with internal Teams to provide required scope of work. Track progress of to meet the Lease required completion date. Attend bi-weekly meetings with Team.

- Good communication skills for interaction with landlords, general managers, and facility managers.
- Good follow up and issue resolution management.
- Be able to review and assess situations for resolution. Redirect and inform other business teams of needs/history for purposes of action, as related to Lease.

EDUCATION - TRAINING - EXPERIENCE
- Lease Administration experience.
- Understanding of the accounting process including CAM reconciliation.
- Computer skills including, Excel, accounting systems and lease administration software.
Compensation Range:
Annual Salary: $72,000.00 - $78,000.00 (depending on experience and location)
