General Summary: Under the direction of the Director, Permanent Supportive Housing, the Assistant Property Manager (APM) works in conjunction with the Property Management Team and is responsible for a working understanding of all of the property operations of the assigned property and will act as the main point of contact in the absence of the Property Manager. The APM will field phone calls, facilitate all office and leasing activities, and assist in the timely collection of rents including documentation of all transactions. The APM will also interact with clients/residents to explain move-in/move-out requirements and field questions about services and amenities. The Assistant may also perform special projects and attend service provider meetings as directed by the Property Manager or designee from time to time. The position requires an incumbent with hands-on service delivery, patience, tact, flexibility, professionalism, and an overall commitment to teamwork.

Essential Duties and Responsibilities:
- Property Management Front Office Support: Greet campus visitors, coordinate services for residents as directed by the Property Manager, post notices, maintain files, post collections, attend meetings and other clerical duties.
- Administration: Assist prospective residents in completing applications, responding to inquiries, and assist in the preparation of reports.
- Maintenance Support: Coordinate with maintenance personnel as directed by the Property Manager, write work orders, and follow up on behalf of residents and Property Manager, maintaining updated records and preparing reports as required. Using a checklist, may perform property walks to determine maintenance issues and coordinate repairs with maintenance on behalf of the Property Manager. Conduct quarterly inspections to determine habitability, health, safety, pest controls, fire, and smoke detectors.
- Client Services and Move-in Orientation: Assist other Property Management staff in arranging tours for prospective clients, explaining amenities and terms for occupancy for move-ins. Serve as a resource of ongoing support by responding to questions of new residents. May make identification cards for residents, staff, and service providers.
- Outreach/Community: Attend outreach events, assist in planning and coordination of events for staff and community residents.
Required Knowledge, Skills, and Abilities:
- Excellent customer service skills
- Ability to multi-task with minimum direction, maintaining a respectful demeanor in challenging situations.
- Able to develop and maintain a constructive, cooperative working relationship with others.
- Able to maintain a positive flow of relevant communication and protect sensitive information.
- Must have sound problem-solving ability; ability to recognize a pending problem and recommend a course of action.
- Knowledge of basic budgeting, vendor relationships, contract, and payment practices.
- Ability to interact with residents, office staff, visitors, vendors from diverse socio-economic backgrounds.
- Skilled in filing, data input, report writing, auditing techniques.
- Basic skills in Word, Excel, Outlook, proficient in Yardi or similar property management software.
- Ability to keep established hours of operation, ability to work overtime on short notice, and maintain excellent work attendance. Must be flexible to meet the needs of a professional office.
- Access to reliable transportation and ability to keep work hours of 8:30 AM through 5:30 PM, M-F.
Education and Experience: This position requires a minimum of an associate degree. Two to four years of experience in support of management in Property Management, Tenant Relations. Marketing experience may contribute to success in this position. A combination of experience and education will be considered. Bilingual, Spanish would be helpful.
