The Staff Accountant – Spend Management role will offer the applicant a unique opportunity to provide direct value to the organization by helping to manage our overall cost exposure. This person will help to develop our spend management process, support system implementations to automate workflows, and partner with different business areas to ensure financial discipline. This individual will also be responsible for maintaining and updating purchase order records in the financial system, collaborating closely with business owners, vendors, and others within the corporate accounting team, as applicable.
Additionally, this individual will be responsible for tracking and managing new and existing contracts to ensure the capture of crucial transaction and other accounting details. In addition to supporting the spend management process, this individual will also support the accounting team by helping to prepare monthly allocations, accruals, reconciliations, and other accounting tasks as assigned.
Position Functions And Responsibilities
- Fill a key role in developing and implementing a front-end spend control process which would include contract review, vendor on-boarding, and purchase request and purchase order discipline.
- Track all new and existing vendor contracts noting key financial terms, including renewal dates, payment terms, cancellation provisions, and other deadlines as applicable.
- Set up and have ownership of purchase order records for all new and renewal contracts.
- Collaborate with business owners, accounting team, and vendors on all purchase order inquiries and related needs.
- Assist leadership with reporting of spend by vendor for each department or entity.
- Ensure compliance with purchasing policies and procedures.
- Prepare monthly vendor accruals leveraging purchase order details to support month end close process.
- Prepare monthly allocations of expenses to the correct entities.
- Complete monthly account reconciliations for assigned balance sheet accounts.
- Prepaid expenses
- Miscellaneous accruals
- Intercompany accounts
- Assist with other monthly accounting duties as assigned.
Qualifications
Experience & Education
- Minimum of 3 years in accounting or related field
- Intermediate understanding of Generally Accepted Accounting Principles (GAAP)
- Intermediate understanding of financial systems
- Experience working with purchase orders and vendor management
- Healthcare experience preferred
Knowledge, Skills, And Abilities
- Independent work style with creative and critical thinking skills
- Strong business partnership and communication skills
- Proficiency in software tools including financial systems and Microsoft Excel
- Ability to collaborate effectively
- Displays strong productivity skills including planning, prioritization, and organization
