Position Summary:
As the Venue Logistics and Production Director, you will play a pivotal role in ensuring the smooth and efficient execution of all events and day-to-day operations at Pullman Yards. You will oversee all logistical aspects of the venue, from planning and coordination to on-site management, ensuring smooth operations and successful events.
Key Responsibilities:
On-Site Management
- Oversee all on-site logistics, including traffic flow, parking, security, emergency procedures and event load in and load out.
- Monitor event progress and address any issues that may arise.
- Ensure compliance with all safety regulations and permits.
- Coordinate with vendors, suppliers, and contractors to secure necessary equipment, services, and permits.
- Work closely with clients and internal teams to understand event requirements and develop comprehensive logistical plans.
- Manage parking administration: validations; assign parking, coordinate and oversee commuter programs, audit and review parking invoices.
- Plan and execute desk moves, space reconfigurations, and minor facilities projects as needed.
- Coordinate building janitorial services and maintenance requests.
- Monitor vendor performance, including ensuring performance standards are met and communicating with vendors.
- Coordinate local safety efforts and emergency plans, primary point of contact for building fire warden program, training and fire drills.
- Coordinate with property management for building and parking access.
Vendor Management
- Source and negotiate with vendors for equipment, services, and supplies.
- Manage vendor contracts and payments.
- Ensure and maintain all client and vendor COI (Certificate of Insurance)
Site Maintenance and Improvement
- Oversee the maintenance and upkeep of event spaces and infrastructure.
- Identify opportunities for improvements and implement necessary changes.
Production Coordination
- Manage the production team, including stagehands, technicians, and support staff.
- Coordinate the setup and breakdown of stages, lighting, sound, and other production equipment.
- Liaise with artists, their agents, and production managers to ensure their needs are met.
Qualifications:
- Bachelor's degree in venue management, event management, logistics, or a related field. A combination of education and experience may meet qualifications.
- Minimum of 5 years of experience in venue management or event production.
- Strong organizational and planning skills.
- Excellent communication skills, both verbal and written, with the ability to collaborate effectively across teams and levels of the organization.
- Ability to exercise good judgment with sensitive and confidential information.
- Exceptional problem-solving skills with the ability to address complex issues.
- Ability to work under pressure, meet deadlines, have a sense of urgency, able to deal with frequent interruptions, and adjust to changing priorities.
- Proficiency in event management software and tools.
- Experience in the entertainment or hospitality industry is preferred.
- Commitment to excellence with a focus on delivering world-class hospitality and service to team members.
- Demonstrated ability to build and maintain productive relationships with internal and external stakeholders.
- Ability to work weekends or after hours if necessary, regarding building emergencies, moving, inspection and renovation projects.
Physical Demands/Working Environment:
- Working environment is fast-paced, often loud and stressful.
- Position requires extended periods of prolonged standing and working on your feet.
- Must be able to work event-day shifts, up to 15 hours.
- Must be able to lift or move up to 40 lbs using proper lifting techniques.
