Project Quality Coordinator Responsibilities
In the role of Project Quality Coordinator, we'll count on you to:
- Serve as the local representative within the studio for the Quality Office and support the development and implementation of the organizations Quality Management System (QMS). Act as an advocate for Quality to the studio - train and communicate to staff in a way that focuses on the value and intent of quality management.
- Prepare, assemble and oversee reproduction of routine deliverable documents such as drawings, specifications and design reports. Tasks may include preparation of forms and letters, maintenance of contact and distribution lists, control and reproduction of documents.
- Schedule, coordinate and provide administrative support to internal teams and external client meetings. Tasks may include scheduling meetings, reserving conference rooms, taking and distributing meeting minutes, coordinating catering services and travel reservations.
- Maintain project files in accordance with corporate standards and project document control systems. Tasks may include organizing, filing and archiving documents in both electronic and printed formats.
- Provide guidance to Project Managers regarding development of project plans (e.g., Project Management Plan, Quality Management Plan).
- Assist project managers in maintaining and updating project schedules and facilitating monthly project reviews.
- Assist project managers in coordinating communication with multiple project team members, including individuals located in other HDR offices and consultant offices.
- Regularly report studio QMS implementation and audit resolution strategies to the Managing Principal and Regional Quality Director.
- Develop and update local studio processes through collaboration with studio stakeholders, which supports implementation of QMS requirements.
- Assist project teams in adhering to corporate quality standards and conduct quality assurance/quality control reviews. Respond to staff questions or issues related to policies and procedures related to the organization's QMS.
- Work with new employees in onboarding and awareness of the HDR QMS and its role in our organization.
- Execute special assignments under direction of the Project Managers with minimal supervision.
- Complete word processing as needed including letters, memos, reports, and labels, meeting set-up, travel arrangements, light accounting and perform other miscellaneous tasks as requested.
Preferred Qualifications
- Associate or Bachelor's degree in Business Administration or related field preferred.
- Strong preference given to local candidates.
Required Qualifications
- Associate degree in a closely related field or combination of education and relevant experience.
- A minimum of 1 year related experience.
- Proficiency in Microsoft Word and Excel.
- An attitude and commitment to being an active participant of our employee-owned culture is a must.
