Executive Assistant to the Chief Executive Officer

Executive Assistant to CEO acts as a conduit to the board of directors and senior management teams, offering hands-on support to the CEO. Reporting directly to the President and CEO, the Executive Assistant delivers executive support. This role involves managing daily activities and providing various complex administrative services in a proactive and detail-oriented way.

Job Description
Executive Support
- Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Provides a bridge for smooth communication between the CEO and senior leaders, demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Works closely and effectively with the CEO to keep well informed of upcoming commitments and responsibilities, following up appropriately.
- Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Assists in preparing general, statistical, and presentation correspondence; proofreading requests, and organizing project documentation and filing needs for the Executive.
- Manages documentation and other confidential matters.
- Provides back-up assistance for administrative team as needed.
Board Support and Liaison
- Maintains discretion and confidentiality in relationships with all board members.
- Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Qualifications
- Bachelor's degree required.
- Minimum 5 years of experience as an executive assistant to C level Executives or similar role.
- Experience and interest in internal and external communications.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
- Strong organizational, time management, and problem-solving skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail, accuracy, and confidentiality.
