DESCRIPTION
The HR Knowledge Management Analyst position is responsible for capturing, organizing, and sharing knowledge across the Human Resources Team supporting the Acosta Enterprise, which consists of approximately 200+ associates, both new hires and experienced associates, across the spectrum of HR shared services functions, including HR Operations, Payroll, Benefits Administration, HR Associate Support, Talent Acquisition, and HR technology teams. This role will manage knowledge assets including databases, documents, policies, business processes and procedures, and training content. This role will focus on the full knowledge management lifecycle, from Create through Assess/Evaluate, aimed at ensuring the standardized delivery of exceptional HR support and ensuring timely and accurate responses to associates, managers, senior leaders, and internal and partners. This role will support the creation and maintenance of documentation required to support inquiries and transactional requests received through multiple HR channels. The role will include a high level of stakeholder interaction, collaboration and delivery of HR and HR technology training documentation for teams and entities across the Acosta enterprise.
RESPONSIBILITIES
- Develop & maintain knowledge assets and ensure relevancy based on technology, policy, or process changes. Knowledge assets may include databases, documents, policies, and business processes and procedures. Partner with content owners to review and provide input, including internal process documentation and system content. Use case system metrics to identify high volume requests and develop content that directs associates to self-service solutions.
- Maintain communication infrastructure for knowledge and utilize enterprise systems to communicate knowledge updates as required. Oversee permissions and accesses in knowledge management technical environments; implement security permissions as needed.
- Analyze content usage frequency and user ratings and share insights to content owners and creators.
- Maintain multiple knowledge management repositories and architecture for Acosta HR using taxonomy and governance for efficiency. Apply branding standards to all knowledge content to ensure standardized content delivery and appropriateness for the targeted audience. Support and orchestrate content consolidation strategies as required.
- Work with the HR leadership and Communications teams to develop and maintain the Knowledge/Content/Solution strategy. Champion the agreed-upon strategy.
- Use knowledge repository tools and reporting to ensure knowledge assets are up to date, based on established review cadence aligned to the annual business calendar. Serve as point of contact for each HR functional area for knowledge or training content refresh needs (e.g., due to technical or process changes). Identify knowledge content needs by meeting with stakeholders on designated cadence.
- Partner with HR leadership to understand events such as Mergers and Acquisitions to perform an off-cycle review of knowledge areas impacted by such events and alignment of the content to all integrations and hyper care needs. Recommend content improvements and refresh per process changes.
- Identify and recommend continuous improvement opportunities for Acosta HR to help meet stated performance objectives and strategic priorities. Serve as a resource or subject matter expert for identified improvement projects.

QUALIFICATIONS
Education
- High School Diploma/GED.
- Bachelor’s Degree - preferred.
- Certification/License - preferred.
- Bachelor’s Degree in HR or Business-related field.
- Six-Sigma Green Belt certification preferred.
Work Experience
- 3 – 5 years of related work experience.
Knowledge, Skill and Abilities
- Broad knowledge of HR fields including payroll, time and attendance, organizational management, and compliance for record-keeping.
- HR Records knowledge with an in-depth understanding of all rules, regulations, policies, procedures, and recordkeeping ensuring compliance with federal, state, and corporate requirements.
- Skilled at multi-tasking and performing multi-faceted tasks in conjunction with day-to-day activities.
- Familiarity with Case Management systems.
- Able to use HR/HCM systems in a high-volume environment.
- Excellent time management, problem-solving skills, and customer service skills.
- Skilled at process improvement and documentation.
- Displays ownership and accountability.
- Must be able to effectively communicate to and get along with diverse personalities, tactful, mature, and flexible.
- Ability to maintain the highest confidentiality level, be extremely attentive to detail and can work under tight timelines.
- Excellent written and oral communication skills with experience creating communication materials for small or large audiences.
- Understanding of Six Sigma/Process Improvement Concepts. Green Belt Preferred.
