Job Description
As an Executive Virtual Assistant, you’ll play a pivotal role in streamlining operations across multiple business ventures. You’ll manage complex schedules, handle critical communications, and support various administrative functions in healthcare, real estate, and beyond. Responsibilities
- Manage intricate calendars, coordinating professional and personal schedules across multiple businesses
- Handle diverse communication channels, including emails, phone calls, and video conferencing
- Perform data entry for healthcare billing, payroll, and other business operations
- Assist with financial management tasks, including bill payments and setting up automatic transactions
- Support healthcare operations through client follow-ups and insurance billing coordination
- Arrange travel and manage logistics for out-of-town properties
- Provide administrative support for legal matters and patent applications
- Coordinate scheduling for ministry-related activities
- Implement and maintain organizational systems to enhance efficiency across all business ventures
- Research and book flights, hotels, and set up utility accounts for properties as needed
Requirements
- Proven track record as an Executive Assistant or in a similar multifaceted role
- Exceptional organizational skills with the ability to juggle multiple priorities effectively
- Strong communication skills, both written and verbal
- Proficiency in Microsoft Office Suite and video conferencing platforms
- Self-motivated with the ability to work independently in a virtual environment
- Familiarity with healthcare billing processes and Medicare (preferred)
- Basic understanding of real estate management processes
- Ability to maintain strict confidentiality and handle sensitive information discreetly
- Flexibility to align work hours with EST time zone
- Adaptability to take on new tasks and learn quickly in a growing business environment
