Key Job Elements:
- Meet with prospective and current (or returning) students (and their families) to determine financial aid eligibility and provide guidance to them about financial aid-related applications and documents (including, for example, student loan and grant applications).
- Provide clarifying information or examples to students (and/or their families) when they complete their FAFSAs.
- Review ISIRs in order to identify verification or C code requirements. Identify and take action to assist with the process of following-up, collecting, and then reconciling documentation needed to resolve verification and C code obstacles.
- Perform Entrance and Exit counseling by meeting with students, which should be completed within 30 days after a student’s last day of attendance.
- Work cooperatively and cohesively with staff in the Admissions Department to facilitate outstanding customer service to prospective and current students (and their families).
- Collect appropriate documentation to process financial aid funding in a timely and compliant manner.
- Create and present an appropriate budget to a student and then package the student (i.e., schedule their financial aid award(s)). Monitor subsequent aid disbursements to ensure funds are credited to students’ accounts in a timely manner.
- Maintain consistently clean and accurate financial aid files which demonstrate institutional compliance with federal, state, and accreditation agency requirements as well as internal policies and procedures.
- Complete weekly financial aid reports (e.g., data regarding student packaging, cash flow, balance to scheduled, FA holds, etc.) and provide daily updates to the Director of Financial Aid.
- Provide excellent customer service by responding clearly, accurately, and timely to student questions or concerns.
- Determine and schedule follow-up action as may be needed to resolve financial aid issues.
- Monitor daily activities to ensure compliance with departmental procedures and policies, as well as requirements imposed by federal, state, or accrediting entities.
- Manage on-campus events (such as orientation, open house, community outreach activities, etc.) and delegate responsibilities to ensure proper representation by the Financial Aid Department.
- Assist the Director of Financial Aid in effectively managing a team to achieve departmental goals (such as collections on past due accounts).
- Assist the Director of Financial Aid with training and coaching necessary to help existing Financial Aid Advisors meet performance expectations. Deliver quarterly coaching documents and annual evaluations for staff members in the Financial Aid Department based upon observations, interactions, and contemporaneous documentation of both positive and negative attributes, actions, and performance.
- Assist with leading weekly team trainings and planning team-building activities.
- Assist the Director of Financial Aid in collecting, drafting, and finalizing informational reports (on a weekly or monthly basis, for example) for submission to the Corporate Office.
- Actively assist the Director of Financial Aid with the hiring, on-boarding, training, and Financial Aid Department staff members.
- Lead Financial Department in absence of the Director of Financial Aid.
- Other duties and activities as may be assigned.
Job Requirements:
- Bachelor’s degree preferred; or combination of education and experience.
- Minimum of 3-4.5 years’ experience in financial aid working in a post-secondary institution.
- Wide knowledge of federal and state regulations which may impact Title IV funding.
- Basic Knowledge of CampusVue database (preferred).
