The University of Minnesota Health Clinics and Surgery Center (CSC) Clinic Check-in Coordinator team ensures that patients, their families and guests have an excellent experience at the CSC! Our Check-In Team serves as the first point of contact for patients and their families at the time of check in.
Our team works collaboratively with clinic management and staff to support the business needs of the clinic. The clinic coordinator actively uses and embraces technological enhancements to support their role. They maintain a patient friendly and welcoming disposition when interacting with patients. They use strong customer service skills and promote the organizational philosophy of patient centered care during clinic visits and/or other interactions.
Clinic Check-in Coordinator Overview
Key responsibilities include but are not limited to:
- Check-In Responsibilities:
- Greets and welcomes all patients and families as part of the check-in and arrival process for unparalleled experience.
- Provides patient with Care Connect badge, ensures all pre-registration information is complete upon check in, provides information and reassurance related to any anxiety about the visit, and advises the patient to the appropriate waiting area.
- Maintains awareness of multiple competing situations and prioritizes to assure patient/guest needs are met.
- Monitors Care Connect information and intervenes with patient if the care team is delayed and assists the patient care team as vital.
- Communications and Resources:
- Communicates effectively over phone and in person with all members of the care team and patients to ensure patient care process while ensuring patients have access to appropriate technology and assists them to use the devices if needed.
- Has full responsibility for interpreter needs, visit wait coordination and monitoring, co-pay collection, and patient privacy protection during check-in.
- Anticipates patient and guest needs, offers options for increased comfort, answers requests for directions, phone numbers, personal services, transportation, etc.
- Facilitates with team lead/supervisor to provide service recovery in real time to assure that no guest leaves without a resolution to a problem.
- Environment/Facility Management:
- Ensures a safe, clean, secure environment.
- Ensures patient refreshments are available and assists patients as needed.
- Recognizes emergent situations and has knowledge of how to summon help.
Minimum Qualifications:
- Post HS education or training with basic medical terminology and keyboarding skills.
- At least 1 year of customer service experience working with the public.
- Good multi-tasking and critical thinking skills.
- Outstanding interpersonal and communication skills.
- Empathetic individual with patient's best interest in mind.
- Flexible with assignments and able to perform a wide variety of duties.
- Capable of displaying a tactful, discerning mind when faced with patients in sensitive and vulnerable positions.

Hours: Monday-Friday, 5:30am-2:00pm
