The position will assist the Controller with the functions of the Business Office including carrying out the accounts payable and credit card processes, the preparation of reconciliations, period closes, ad hoc reports, and general accounting. The position also administers the student payroll processing to ensure accurate and timely payment to student employees. This position provides customer service for inquiries from faculty, staff, and students.
Responsibilities:
Accounts Payable
- Manage weekly accounts payable process to ensure completion in a timely and efficient manner
- Review invoices, check requests, and travel reimbursements for compliance with College policies and procedures
- Educate community and enforce fiscal policies and procedures related to accounts payable processing
- Review vendor payments and prepare 1099/1096 annual reporting requirements
- Reconcile the accounts payable ledger to the general ledger quarterly
- Oversee College credit card program and prepare monthly journal entry reconciliation
- Provide recommendations for improvements in accounts payable policy and procedures and in usage of administrative software system
General Accounting
- Develop, implement and continuously improve accounting procedures by analyzing current procedures and recommending changes
- Review daily cash receipts edit and prepare daily bank deposit
- Create and generate reports for general ledger monitoring and analysis
- Assist Controller with special projects including but not limited to budget preparation, financial analysis, and tax reporting
- Provide support for accounting processes including monthly/quarter entries and closing
- Audit, track and monitor corporate credit card and fleet card activity to ensure compliance with college policies
- Analyze independent contractor payments and prepare annual 1099 IRS reporting
Payroll
- Review and audit setup of student employee biographical, pay, and tax information
- Audit student timecard information from time keeping system to payroll data
- Accurately process student employee biweekly payroll
- Transmit ach file to bank and complete federal tax deposits when needed
- Assist students in access to online pay stubs
Customer Service
- Contact for faculty, staff, students and public concerning issues regarding accounting and student billing.
- Answer simple and complex questions
- Explain accounting policies and procedures
- Provide a welcoming environment to students and parents
Technology
- Design and update queries and reports utilizing ERP report software
- Manage college credit card users and activity on Access Online
- Manage college Amazon account and maintain accurate user access
- Create and update documents in Teams and SharePoint
Business Office/Other functions
- Act as a liaison between Business Office and College departments
- Participate in process improvement initiatives
- Perform other duties as requested, delegated or assigned
Job Qualifications
Necessary Education or Work Experience:
- Minimum of 3-5 years’ experience in accounting, finance or other related work experience
- Experience in customer service-related field required with ability to react to customers quickly, accurately, and congenially with a focus on problem-solving and relationship building
Required Knowledge and Skills:
- Proven ability to work effectively as a team member
- Ability to help teach and mentor other team members
- Excellent attention to detail and organizational skills
- Ability to analyze and interpret data and make independent decisions
- Working knowledge of spreadsheets and word processing
- Excellent oral and written communication skills
- Attention to detail and ability to multitask in a fast-paced environment
- Ability to adapt to and welcome interruptions in a positive and friendly manner
Required Technology Skills:
- Overall Proficient skill-level in Microsoft Office, which includes: Word, Excel, Power Point, Outlook, and basic computer concepts
- Ability to create queries and reports using database report generator
- Embrace new technology and a deep desire to learn new software
