JOB SUMMARY:
Scheduled Hours per Day: Monday through Friday from 8am-4:30pm
Under the direction of the Accounts Payable Supervisor, the Senior Accounts Payable Specialist is responsible for all accounts payable administrative functions for specialized accounts that are highly visible within the organization. The functions include managing the full accounts payable cycle from receipt of invoices to payment, including coding invoices, matching purchase orders, obtaining approval, and entering the invoices into the accounting system.
RESPONSIBILITIES AND DUTIES:
- Processes specialized payments for high-visibility programs for the Agency.
- Serves as a resource to other AP Specialists.
- Prepares payment runs including printing checks, sending ACH and wire payments.
- Prepares 1099 and other annual IRS filings.
- Processes corporate card expenses ensuring proper coding and compliance with agency policies.
- Responds to AP tickets as they are assigned.
- Maintains relations with AP partners including employees and vendors.
- Reconciles problem accounts and works with the AP Supervisor to create solutions.
- Aids AP Supervisor in invoice accruals during month-end close.
- Assists in gathering support documents for audits.
- Attends and participates in staff meetings.
- Interacts with internal programs and external sources.
- Models Pacific Clinics’ approach, mission and core values in all communication and correspondence.
- Performs other responsibilities, as assigned.
JOB SPECIFIC COMPETENCIES:
- Thorough understanding of general accounting concepts.
- Able to work independently with minimal supervision.
- Strong computer skills and emphasis on Microsoft Excel.
- Strong organizational skills.
- Accurate with a strong attention to detail.
- Strong written and oral communication skills.
QUALIFICATIONS:
- At least five (5) years of experience in accounts payable.
- Knowledge of specialized accounts payable principles, policies and procedures.
- Displays good verbal and communications skills.
- Ability to work in a team environment.
- 10-key by touch and strong Microsoft Excel skills.
PHYSICAL REQUIREMENTS:
- May/will have supervised contact with children.
- Requires full background check and TB exam.
DRIVING PRIVILEGES:
- May be called upon to drive on agency business.
TRAINING:
Needs to successfully complete all required agency training indicated for this position.
