Position: Director, Accounts Payable & Purchasing
Classification: Full-time, Exempt
Reports to: VP, Finance & Accounting

Position Description: The Director, Accounts Payable & Purchasing coordinates with the VP, Finance & Accounting to follow DePelchin fiscal policy and is responsible for expense bookkeeping in the general ledger, vendor relationships and payments, approval and coding of purchasing, oversees proper cash outflows, and maintains compliance with external agencies’ requirements. Primary responsibilities include:
- Controlling the subledger of expenses by processing, verifying, and reconciling accounts payable, including purchase orders, invoices and vendor statements, excluding payroll.
- Supervising the Manager of Billing, Accounts Payable & Purchasing, and the Accounts Payable Team Lead.
- Verifying all expense related general ledger entries in the accounting system for accuracy to Department, Cost Center, etc. to ensure accurate bookkeeping for the completion of month end close and timely Finance Committee and Board reports.
- Identifying and correcting any actual-to-budget variances regarding expenses in the accounting software system.
- Operating the day-to-day management of all payment cycle activities, ensuring all accounts are paid in a timely and efficient manner.
- Managing and updating allocation methodologies in the accounting system.
- Maintaining vendor relationships and records, including contracts and records management and renewals.
- Continuing to improve the accounts payable processes by implementing new initiatives and software as needed, including expense management software and payment methods such as ACH, purchasing cards and virtual cards.
- Developing and maintaining the necessary accounting policies and systems for accounts payable and purchases for accreditation, grants, and government compliance.
- Coordinating and/or preparing tax schedules, returns and information as needed.
- Issuing status and ad hoc reports to executive management as needed.
- Assisting with audit requests, including the independent financial audit(s), Federal and State Single Audit(s), 403b audit(s), and other audit(s) of the organization.
- Ensuring that records are maintained in accordance with generally accepted accounting principles and government requirements.
Required Qualifications:
- Bachelor’s degree in accounting or finance.
- Ten (10) years accounting experience.
- Five (5) years of management level experience.
Preferred Qualifications:
- Master’s in accounting or finance.
- Non-profit or healthcare management experience.
- Certified Public Accountant (CPA) a plus.
Knowledge, Skills and Abilities:
- Knowledge of Accounting practices.
- Mathematical aptitude and organizational skills.
- Must be proficient in Microsoft Excel.
- Ability to read and interpret data, information, and documents.
- Ability to work effectively under time constraints to meet deadlines.
Work Conditions:
- Environment: Office-based, Hybrid
- Range of Schedule: Mon – Fri, 7:00 am to 8:00 pm
- Travel: Occasional
