REPORTS TO: Assistant Vice President of Campus and Auxiliary Services

DEPARTMENT: Mailroom
JOB SUMMARY:
Oversees the management and compliance of the Mailroom and Package handling operation. Is responsible for the delivery of university mail both internally and externally to USPS. Manages the Pitney Bowes DM 300-meter machine processing and Smart lockers. Responsible for all departmental billings as it pertains to mail and packages across campus. Schedules, trains, and directs staff in their daily functions. Trains newly hired Mailroom Assistants. Stays up with federal guidelines in the processing of mail handling and delivery. Works closely with USPS, FedEx, UPS, and Amazon in the delivery of mail and packages. Develops, recommends, and implements procedures to best improve departmental services.
EDUCATION:
High School diploma or equivalent
LICENSURE/CERTIFICATION:
EXPERIENCE:
- Knowledge of postal regulations
- Pitney Bowes DM 300-meter machine processing
- Send suite scanner processing
- Smart locker processing
- Valid State of Connecticut driver’s license
ESSENTIAL FUNCTIONS AND JOB SPECIFIC DUTIES:
- Sorting internal and external mail for students, staff, and faculty
- Preparing internal and external mail for delivery
- Delivering mail to all departments
- Metering mail and familiarity with PARAGON
- Assisting with pre-sort mail with Smart Mailer
- Recording and maintaining log of insured and certified mailings
- Responding to telephone inquiries
- Oversight of Smart locker system
- Ability to provide high-quality customer services to include effective communication with Faculty, students, staff, and parents
- Service-oriented in dealing with missed deliveries
- Addressing issues including follow-up with USPS and carriers
To train newly hired Mailroom Assistants in both the internal and external mechanisms and processes of the Mailroom and package handling.
To pick-up and deliver mail to the post office; to pick-up and deliver mail to campus offices.
To assist in attending the mail/stamp window. This involves:
- Conducting cash transactions
- Balancing incoming monies with cash receipts
To participate in the professional development of the department. This involves:
- Promoting an image of efficiency and courtesy throughout the University community and consistent with department’s mission
- Participating in departmental staff meetings as requested.
To promote safe and secure working conditions. This involves:
- Promoting the proper utilization of equipment and materials
- Notifying supervisor immediately of any unsafe working conditions.
To perform other related duties as requested.
