POSITION TITLE: ASSISTANT DIRECTOR OF FINANCE
REPORTS TO: Vice President of Finance and Administration
Pay Range: $35.25 to $44.99
GENERAL RESPONSIBILITY: Responsible for oversight of financial support services, including accounts payable, cash receipts, journal entries, daily accounting system functions, budget preparation and maintenance, and leading the annual financial audit.
SPECIFIC RESPONSIBILITIES
- General Accounting responsibilities including:
- Complete month-end and year-end close of accounting records, including accrual of revenue and expenses
- Accumulate data and prepare financial reports to funding sources
- Approve journal entries prepared by the Finance Managers
- Ensure reconciliation of specific General Ledger accounts, including bank reconciliations, are performed regularly in a timely manner
- Manage the annual audit, including preparation of work papers, reconciliation of accounts, and communication with the outside auditors
- Assist the VP of Finance and Administration in preparing monthly, quarterly, and annual financial statements and financial analysis for the Board of Directors and outside funding entities
- Oversee the ongoing timely maintenance and appropriate configuration of the accounting system, including adding and deleting segments as appropriate
- Oversee the maintenance and implementation of cost-allocation methods
- Budget Management responsibilities including:
- Ensure that budgets reflect priorities contained in the strategic plan and annual program plans
- Ensure that the agency has adequate fiscal information to make determinations about existing proposals and long-range planning
- Maintains updated budget procedures
- Monitors budgets on a regular interval to ensure maximum spending of resources and spending is compliant and remains within the approved budget
- Provides timely and accurate budget information to budget and program managers for planning and operations
- Train and educate budget managers to ensure understanding and budget compliance
- Utilize finance data to project spending and ensure spending is in line with the budget
- Revise the annual budget with material changes
- Issue and interpret monthly and annual financial reports and budget comparisons for review by the VP of Finance and Administration and other members of management
- Prepare the annual agency budget as well as individual grant budgets
- Oversees Fixed Assets, including:
- Account for fixed assets acquisitions and disposals
- Maintain annual fixed asset schedules and depreciation calculations.
- Leads and coordinates project-based work consistent with the strategic direction of the finance team
- Develop finance policies and procedures for review by the VP of Finance and Administration
- Perform other duties as assigned
QUALIFICATIONS
- Bachelors degree in accounting, Finance, or a related field required
- At least 6-8 years of progressive experience in bookkeeping, general office, clerical accounting, and accounts payable required
- CPA preferred
- Experience in non-profit accounting, strongly preferred
- Ability to professionally develop direct reports
- Experience in electronic data processing, particularly spreadsheets and general ledger accounting
- Ability to work with people of diverse and varying socio-economic backgrounds
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
