Position Summary
This position reports directly to the Associate Director, Budgets and Contracts and is responsible for projecting monthly and annual budgets for the College; monitoring department budget to actual status collegewide; assisting department heads and project directors in budget preparation and maintenance; assisting in the analysis, planning and administering of past, present, and future budgetary expenditures under the direction of the Senior Vice President for Business and Financial Affairs.
Essential Duties and Responsibilities
- Forecast the fiscal impact of college decisions; makes recommendations to ensure well-informed decision making and optimal resource allocation;
- Performs business related analyses and financial modeling; develops analytical reports;
- Proactively monitors budgets to analyze variances and ensure accuracy; provide explanations to variances, including underlying drivers;
- Monitors and communicates financial performance;
- Monitors unrestricted budget to ensure budget remains balanced;
- Assists with maintenance of the position control budget by working closely with the Office of Human Resources, Office of Academic Affairs, and Payroll; maintain accurate position budget and general ledger accounting distributions;
- Prepares monthly position budget reconciliation;
- Works closely with budget managers in requesting annual budget projections; assists budget managers in projecting future budget needs based on current expenditures;
- Assist department heads in the preparation and maintenance of their budgets;
- Prepares monthly and/or quarterly budget-to-actual reports of operating expenses;
- Assist Director of Budgets, Contracts and Operations, Associate Director of Budgets and Contracts and Senior Vice President of Business and Financial Affairs with drafting budget reports and other written correspondence;
- Assists in the preparation and maintenance of the College’s operating budget utilizing Anaplan, Microsoft Excel and BANNER software packages;
- Approves and processes budget adjustments in accordance with college policies;
- Works with budget managers to remediate budget deficits;
- Leads/participates in initiatives to improve budgeting, processes, reporting and system tools;
- Recommends modifications to processes and procedures to improve compliance and increase operational efficiencies;
- Communicates the status and availability of funds in various accounts to budget managers to allow decisions to be made regarding budget reallocation and spend down;
- Reviews general ledger to ensure journal entries originated by the Budgets and Contracts Office have been properly processed;
- Reviews and approves faculty and staff requests for supplemental pay;
- Maintains departmental data and management systems and assist with the implementation of departmental BANNER based projects, while ensuring the accuracy and integrity of the database;
- Partners with others across the campus to achieve college goals, including training on processes / collaborate in cross functional teams;
- Participates in departmental cross-training to support college needs;
- Ad hoc reports and other duties as assigned.
Required Qualifications
Bachelor’s degree in Accounting or related field with a minimum of five years job related and progressive work experience is required. Previous functional or technical experience in higher education or public accounting is preferred. Must be able to interact with diverse populations, adjust to changing situations and exercise tact and diplomacy. The candidate should have a general familiarity with college research resources, along with the professional maturity, judgment, and drive to effectively represent the College. Must be able to exercise good judgement and discretion regarding sensitive and confidential information. The successful candidate will demonstrate strong organizational skills, the ability to work independently while prioritizing workload under pressure of completing assignments and converging deadlines, and a meticulous attention to detail. Good proofreading skills are essential. This position requires the ability to read, analyze and interpret the most complex documents.
The incumbent must be able to respond effectively to sensitive inquiries or complaints. The responsibilities of this position include the ability to prepare reports, presentations and correspondence, and the ability to speak effectively before groups of customers or employees of the organization.
To perform this job successfully, an individual must be proficient in reconciliations, Microsoft Excel and Microsoft Word.

Physical Demands
While performing the duties of this job, the employee is regularly required to: sit, walk, use hands to handle and operate office equipment including the computer, reach with hands and arms, talk and hear. The employee is occasionally required to: stand, lift and/or move up to 15 pounds stand, kneel or stoop. Specific vision abilities required by this job include the ability to adjust focus.
