The Accounts Receivable Supervisor will lead the accounts receivable team in managing incoming payments, reconciling customer accounts, and resolving discrepancies. This supervisory role will have their own set of customers for which they will be responsible for posting and processing a moderate volume of chargeback deductions with proper documentation. This role works with customer service, the sales team, and brokers to understand sales promotions and other sales programs to ensure the timely reconciliation of all billbacks. The Accounts Receivable Supervisor will be an integral part of the monthly close by processing customer promotion accruals in accordance with financial policies.
What would I be doing?
- Supervise Accounts Receivable team members.
- Oversee and execute the full cycle of accounts receivable.
- Consult on proper setup and configuration of ERP regarding AR Cycle (from Invoice to Collection “Order to Cash”).
- Ensure processing and setup of new accounts in a timely and accurate manner; ensure proper documentation is obtained for credit decisions on new accounts and any changes to existing accounts.
- Monthly report on AR Aging and Collections Efforts, DSOs, and KPIs to Director of Finance.
- Responsible for resolving and posting deductions to the ERP via documents obtained in customer portals, including validation, and processing credit notes or disputes accordingly.
- Calculate and monitor monthly required Deduction (Trade) Spend Reserves by customer.
- Work directly with Director of Finance on AR/Deduction closing process with a focus on deadlines.
- Report on Trade Spend in alignment with Deduction processing.
- Compose and send written and accurate communication to Sales Managers, Customers, and departmental staff regarding chargebacks; and disputes with an emphasis on resolution.
- Timely and accurately respond to external & internal customer inquiries including documentation issues, inventory billing errors, and chargeback processing or disputes.
- Must possess excellent interpersonal skills with the ability to interact and build relationships with internal and external customers.
- Support the accounting team with special projects as needed.
What would make me qualified?
- Undergraduate Degree in Finance or Accounting, or related field.
- Must have 5-7 years of collection and related accounts receivable experience, including familiarity with analyses through customer web portals (i.e. KeHE, Amazon, Kroger, Walmart) with a focus on promotional Trade Spend.
- Experience with NetSuite and/or Trade Promotion systems is a plus. Familiarity with EDI PO order processing.
- Focus on receivable management, adherence to KPIs, and order management policies and procedures.
