The Office Assistant is a consistent administrative resource to parents and staff throughout the summer. Their work rhythm follows the flow of sessions as they support start and end tasks for each session, plus daily operations tasks throughout, while having cushion in their schedule to support various projects and tasks that come up to elevate the impact of camp.

Reports to: Operations Coordinator, Camp Echo
SPECIFIC DUTIES
- Greets all guests, including vendors, contractors, alumni, parents or the public, reviewing identification as appropriate.
- Receives Camp Echo packages and processes accordingly.
- Answers Camp Echo phones and addresses questions, redirects, or takes messages for prompt follow-up.
- Leads frontline parent communication from camp, corresponding with parents via email and phone, supporting CampInTouch photos and newsletters as directed.
- Keeps records and documentation in CampMinder database including all parent communication.
- Supports Evanston Office Staff on the collection and review of camper forms.
- Supports start of session printing and organizing of lists and forms
- Shreds any sensitive information on a regular basis.
- Prints and uploads camper emails daily.
- Transfers camper notes into CampMinder for camp staff, including scanning.
- Oversee summer staff receipt processing on JPMorgan.
- Helps with last day (Friday) and first day (Sunday) operations, including confirmation of drop-offs and pick-ups.
- Serves as point person for radio inventory, labeling, general care, and repairs.
- Ensures cleanliness and organization of Office Yurts and surrounding areas, including office supply inventory.
- Assists Camp Echo team leaders with other projects as requested.
QUALIFICATIONS:
- Age 18 or older
- Experience or training in business management functions
- Competent in Microsoft Office, Word, and Excel
- Certified in CPR and First Aid
- Highly organized
- A commitment to working with a diverse staff and camper population for the fulfillment of YMCA goals
RESPONSIBILITIES OF ALL CAMP ECHO STAFF:
- Models, teaches, and upholds the Camp Echo Code of Conduct and protects the well-being of all campers and staff.
- Reports any behavior that goes against the Camp Echo Code of Conduct and/or puts any camper or staff at emotional or physical risk.
- Aids in the development and education of Teen Leadership program participants.
- Maintains positive relationships with campers and other staff.
- Encourages physical, emotional, and spiritual growth and positive character development in all campers.
- Practices cultural humility, striving to actively learn about and be sensitive to cultures different than their own.
- Is a team player, helping others to achieve their potential by enthusiastically saying “yes” when asked to help.
- Takes initiative and strives to be an active participant in creating positive programs and spaces at camp.
- Cares for and maintains any program equipment, supplies, and spaces they use including activity areas (keeping track of keys) and any shared spaces like the offices, Costume Closet and Program Office.
- Handles whatever else is necessary to ensure that programs run smoothly and safely, or anything else that is deemed necessary by supervisors.
- May be scheduled to work in-between sessions on at least one occasion to support the transition between groups.
All summer positions require living on-site at Camp Echo in Fremont, Michigan. Depending on position hired, staff members live in camper or staff cabins during employment. All meals are provided while camp is in session.
