ResponsibilitiesThis position coordinates the scheduling for all providers (facilities) within the Division. The position assists in maintaining absences and assignment records for consultants, subspecialty clinics, procedures, and works closely with Division Management to provide reporting of ongoing activities and also to accommodate changes and adjustments as necessary. The position works closely with scheduling staff within the Practice Operations. The position collaborates with Practice Leadership and other staff regarding Divisional appointments and schedule policies, changes, and activities. The ability to express opinions maturely and maintain a problem-solving attitude while dealing with occasional conflict/disagreement is essential. Accurately communicate with others regardless of their status or position. Recognize implications of changes and engage appropriate level of practice leadership in decision making. Partner with Practice to develop template strategies.
QualificationsHigh school or equivalent required; Associate degree is preferred.
At least two (2) years of scheduling applications systems or clinical (e.g., working knowledge of scheduling, desk, secretarial, and other clinical functions) experience is required.
Previous experience with providers and appointment office strongly preferred.
Due to significant contact with many employees within the division and within Mayo, prior experience with accounting, administration, institutional appointment office, medical school, and providers is helpful.
Prior experience dealing with patients is strongly preferred due to the direct contact and coordination role regarding the appointment office and patient telephone calls. Knowledge of spreadsheet applications (Excel) is preferred.
The position requires an outgoing individual with strong interpersonal communication and organizational skills along with a strong attention to detail. Must be able to effectively communicate scheduling information and changes to individual consultants and to Divisional leadership.
