The Alpha Phi Sorority House at the University of Colorado-Boulder is looking for a live-in House Director for the 2024-25 academic year beginning immediately. The House Director will work to ensure a safe, comfortable and well-maintained home away from home for 60 collegiate residents. You will oversee the day-to-day operations of the chapter facility.
Compensation includes a private apartment on site at the Chapter facility with living area, bedroom, and bath, as well as all utilities (water/sewer, trash, electric, gas, internet), provided at no cost for the period of your employment. Additionally, a parking spot will be provided, along with the same meal plan offered to undergraduate members residing in the Chapter facility. Meals will not be provided during periods of no occupancy. Your right to access and reside in the Chapter facility shall expire immediately upon termination of your employment for any reason.
Under the direction of 1872 Properties of Alpha Phi management, this employee will:
- Ensure cleanliness, orderliness, proper care, and maintenance of the facility.
- Monitor equipment and building maintenance of the facility, contacting appropriate service companies for timely repairs and maintenance, and entering each maintenance issue into the Revela property management system. Major repairs or purchases above $300 will be reported to the house corporation for approval. Maintenance tickets should be closed out within 14 days.
- Supervise the exterior of the property by monitoring conditions and reporting any issues to the house corporation, including lawn, plantings, entrances, parking lot and sidewalks, appropriate lighting at night, and snow or ice removal for facility walkways.
- Oversee safety and security of the chapter house via maintenance and repair of the security system, outside lighting, and fire alarm systems. Supervise and schedule regular testing of such systems and work with local emergency personnel on required testing or certification.
- Supervise contracted services in accordance with the policies of the house corporation.
- Perform a security check of the chapter house before retiring each evening, securing all outside doors and windows on ground level, closing blinds and shutters, and turning off lights as practical.
- Ensure compliance with Fire Inspection codes and permits. Support chapter officers in emergencies and comply with Alpha Phi Fraternity Emergency Procedures, immediately informing the house corporation of any emergencies.
- Coordinate and perform with the VP of Finance & Housing and the Director of Chapter Housing a fire drill and emergency preparedness exercise at the start of each semester.
- Assist the house corporation with hiring, managing, and training of other household staff, at their request.
- Monitor food service for the facility, supporting the food service company with menu planning, food ordering, preparation, serving, and presentation. Assist kitchen staff with local purchases needed for efficient operation. Provide cooperative support and monitor quality if a service provider is used, reporting consistent issues to the house corporation.
- Work with the Head Chef, vendors, and the house corporation to send appropriate invoices and billings to the accountant.
- Cooperate with the house corporation on planning and maintaining a balanced budget and keeping accurate accounting records. Account for all expenditures under the direct control of the House Director. Complete a monthly House Director Expense report including receipts and required documentation for all expenditures.
- Maintain a list of all pertinent contacts (including house corporation members and advisors, employees, vendors, suppliers, and service companies), procedures, and instructions. This information is to remain the property of the house corporation for use by substitutes or successors, and should be readily available and accessible.
- Reside in the chapter house during all academic terms and procure a substitute during any overnight absence. Requests must be submitted in writing two weeks in advance (except in case of illness). All substitutes must be approved by management in advance. Vacate the facility or plan for a quiet, private evening in the House Director apartment during chapter ritual activities. Cooperate with local, quadrant, and International Fraternity officers in carrying out the duties of the House Director.
- Distribute individual room keys, if applicable, in accordance with standardized facility procedures.
- Fulfill other duties as requested by the house corporation and as are customary to this position.
Essential Functions:
- Ensure the facility meets all fire, safety, and health department requirements at all times.
- Able to ascend and descend 4 flights of stairs routinely throughout the day.
- Able to lift items weighing up to 30 pounds.
- Reside in the chapter house during regular academic terms and be available for vendor access for repairs and special events during academic breaks.
- Able to perform duties with prolonged periods of standing and walking, and semi-frequent pulling, pushing, and bending.
- Work independently.
- Manage and account for expenditures, including petty cash.
- Communicate written and verbal instructions clearly and professionally.
- Manage employees, including scheduling, monitoring hours worked, reporting personnel concerns, and training new employees.
- Proficient in Microsoft Word and Excel, email, online ordering, scanning, and vendor management.
