The Legal Talent Acquisition Coordinator will be responsible for the administrative coordination and implementation of law student recruitment, judicial clerkship recruitment, lateral associate/counsel/professional track attorney recruitment, the summer associate program, and onboarding processes. The position will be located in our New York, NY or Washington, DC office.
Job Description & Responsibilities
Recruitment
- Posts job descriptions on internal and external recruitment sites.
- Processes candidate applications, updates candidate tracking database, updates data reports, and maintains complete candidate files and applicant tracking database.
- Manages the search firm fee agreements process, including execution, tracking and ensuring compliance with departmental standards.
- Coordinates the registration process for recruitment with law schools across the U.S. Completes sign-up forms and required candidate data requests, and manage date assignments.
- Schedules candidate interviews and works with Legal Talent Acquisition team members to ensure seamless candidate experience and interview process.
- Arranges logistics for candidate interviews, including scheduling conference room reservations, technology setup for virtual interviews as needed, and greeting candidates upon arrival.
- Prepares and distributes interview materials, including schedules, candidate application materials and interview guides, and solicits evaluations from attorney interviewers.
- Makes reservations and arrangements for supplemental recruitment activities and follow-up events, including meetings, lunches/dinners, and receptions.
- Prepares candidate materials and packets for review and offer consideration by Recruitment Committee.
- Prepares correspondence including interview confirmation details, offer letters, candidate status updates, rejections, and internal communications regarding candidate status.
- Maintains candidate recruitment files.
Summer Associate Program
- Works with the firm-wide Legal Talent Acquisition team to coordinate all aspects of the summer associate program, including planning, preparation, internal and external communications, orientation, social events, work allocation and evaluations, learning & development programs, summer associate committee meetings, and final offer decision process.
- Serves as a primary point of contact for the summer associates and firm personnel throughout the summer program in the Washington, DC and New York, NY offices.
- Acts as an advisor to the Manager of Legal Talent Acquisition and Summer Associate Chair Partners in Washington, DC and New York, NY to trouble-shoot issues, identify opportunities for growth and ensure compliance with program process and procedures.
On-Boarding
- Coordinates conflicts and background check processes.
- Manages data entry within the onboarding system to ensure all new hire information is accurately processed prior to new hire arrival.
- Facilitates pre-arrival and post-arrival onboarding processes for Summer Associate, Associate, and Counsel new hires, including coordinating orientation schedules, ensuring all necessary documentation is completed and processing I-9 paperwork through online onboarding system to ensure compliance.
- Organizes orientation schedules for Summer Associate, Law Clerk, Associate, and Counsel new hires.
- Orders and coordinates welcome packages for new hires.
- Processes payment of stipends and advances for entry-level associates.
Candidate Engagement and Sourcing
- Assists in developing talent pipelines, alternative strategic recruitment methods and firm-wide processes and procedures to effectively and efficiently fill positions with top-rate talent.
- Coordinates outreach events and programs for law students and judicial clerks in partnership with Legal Talent Acquisition team members, firm affinity groups, practice groups, law schools and student groups, and other internal and external stakeholders.
- Tracks participation of lawyers and talent prospects in engagement activities and feedback provided by participants.
General
- Prepares and updates various demographic and statistical recruitment data reports, including candidate outcomes, projected hires.
- Maintains Legal Talent Acquisition calendar of meetings, interviews, orientations, and engagement activities.
- Assists with preparing firm listings in the NALP Directory of Legal Employers and responding to recruitment surveys and other related reports.
- Maintains and updates recruitment content on firm intranet site, LinkedIn page, external website and other related marketing materials.
- Coordinate and support department budget administration including credit card reconciliation, processing invoices and reimbursements, expenses, and maintaining budget tracking reports.
- Stays current and informed on legal industry recruitment best practices, trends and news; be an active member of local legal recruitment organization and NALP.
- Attends all Legal Talent Acquisition department and related talent team meetings.
- Create and maintain positive relationships with personnel in professional services departments including Human Resources, Accounting/Finance, Professional Development, Diversity & Inclusion, Operations, Technology, Research Services, and Legal Support.
- Perform additional duties as assigned.

Knowledge, Skills and Abilities
- Must be able to work occasional extended hours during busy periods, particularly in the period of May-August, attend evening events and travel between DC and NY when needed.

- Demonstrated ability to communicate clearly, both orally and in writing with attorneys, staff, vendors, and the public.
- Demonstrated ability to provide quality client service to both internal and external contacts, regarding non-legal matters of a routine nature. Requires patience, creativity and discretion.
- Ability to handle highly sensitive information with confidentiality and discretion.
- Ability to work overtime as necessary.
Education
The position requires a bachelor's degree in a relevant field. Equivalent training and experience may substitute for education.
Experience
The position requires a minimum of two (2) years of directly related recruiting experience in a law firm environment during which knowledge, skills and abilities relevant to the position were demonstrated.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The pay range for this position is $65,000-$85,000. Additional compensation may include a discretionary bonus. Other benefits include healthcare, vision, dental, retirement, and all-purpose leave. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
