SUMMARY:
Under the supervision of the CEO, the CFO runs the business office, leading all aspects of the organizations budgeting, budget management and financial processes. The position maintains and enhances the Museums human resources functions, including oversite of the employee engagement and the volunteer program; is responsible for managing the organizations insurance functions, and serves as the staff lead for the Finance and Audit Committee of the Board. The CFO is responsible for compliance with all appropriate legal, safety and HR practices, as well as for ensuring the accuracy of USOPMs financial records and the integrity of USOPMs internal controls. As part of USOPMs staff leadership team, the CFO contributes to developing and implementing organization-wide strategies and protocols. The CFO works closely and independently with institutional leadership including members of the Board of Managers and other key volunteers, and staff throughout the organization. This position supervises the Accounting/HR Manager.
ESSENTIAL FUNCTIONS:
Finance:
- Lead the annual budget process and develop annual plans and budgets that align with USOPMs annual goals and objectives, monitoring them on at least a monthly basis
- Lead the quarterly forecasting process with all department heads to ensure that we have an accurate picture of our full year performance
- Develop structures and systems (technological and otherwise) to ensure that data is leveraged to support the strategic direction of the organization.
- Perform long- and short-term financial modeling as needed for attendance planning, exhibit decisions, strategic planning efforts and other associated projects.
- Facilitate discussions among senior staff to analyze data to support strategic decisions
- Work across all teams, programs, and operations to help optimize financial performance and efficiencies and evaluate current spending to drive resource optimization
- Monitor and evaluate the Balance Sheet and Income statement monthly, identifying trends, variances, and other pertinent information for management
- Maintain all banking and investment relationships
- Interface with Finance and Audit Committee and CEO on investment, cash flow, and other financial matters. Lead the cash forecast process (monthly)
- Lead the annual audit and manage outside audit firm. Serve as the lead staff member for the Audit Committee.
- Manage the grant process including contract administration and reporting.
- Develop and manage all financial policies and procedures for USOPM
- Supervision of Accounting/HR Manager in the facilitation of day-to-day operations, including tracking financial data such as vendor and donor transactions and payroll processing.
- Assess the adequacy of internal controls

Human Resources:
- Manage the payroll process to ensure the accuracy of all payroll based information including health and time off benefits
- Manage any workers compensation or other payroll based legal requirements for present and past employees
- Identify opportunities to reduce the cost exposure to USOPM while maintaining quality benefit offerings.
- Assist CEO in addressing any employee performance concerns, including terminations.
- Maintain a pay plan by conducting periodic pay surveys, preparing pay budgets, recommending, planning, and implementing pay structure revisions.
- Ensure planning, monitoring, and appraisal of employee work, scheduling management conferences with employees; hearing and resolving employee grievances; counseling employees and supervisors.
- Maintain management guidelines by preparing, updating, and recommending human resource policies and procedures.
- Maintain historical human resource records by designing a filing and retrieval system; keeping past and current records.
- Provide leadership and support to organizational efforts to establish the Museum as an employer of choice; invest in staff professional development and continuously improve employee engagement and morale.
- Develop and maintain current and accurate Employee Handbook and oversee its timely distribution to staff.
Organizational Leadership:
- Participate as a member of the staff leadership team. Provide leadership to organization-wide initiatives including strategic planning, staff engagement, program prioritization and development, and long- and short-term financial planning.
- Along with leadership team colleagues, own responsibility for exceeding all organizational goals, including the annual budget, and attendance and programmatic objectives.
- Develop relationships with industry leaders and vendors to facilitate more and supportive partnerships that benefit USOPMs experience, expense, and budget planning.
- Invest in staying informed of new developments and bring leadership to USOPM efforts to remain at the forefront.
- Grow and nurture a staff that is committed to USOPMs mission, vision, values, and commitment to excellence
- Support the CEO in all efforts to ensure USOPMs success.
DESIRED QUALIFICATIONS:
- Bachelors degree or equivalent in Accounting, Finance or Business Administration,
- MBA preferred; CPA preferred
- Minimum 10 years of relevant experience in non-profit or public accounting
- Minimum of 7 years of experience in an HR function.
- Minimum of 5 years of experience supervising staff. Ability to grow and nurture a staff that is committed to USOPMs mission, vision, values, and commitment to excellence.
- Clear knowledge of GAAP accounting principals
- Advanced knowledge of Automated Accounting and Human Resources systems
- Proficient with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams)
- Ability to think strategically, understand both long- and short- term planning needs and opportunities, and prioritize the work of self and others.
- Strong leadership skills, ability to excite staff around shared goals, and willingness to initiate new practices and eliminate old.
PHYSICAL/MENTAL/ENVIRONMENTAL REQUIREMENTS:
- Remain sitting for 5-7 hours a day in office environment
- Stoops, bends, reaches and lifts occasionally throughout the day
- Ability to operate standard office equipment
- Must be able to occasionally move up to 35 lbs.
- Works under a moderate degree of stress
