Job Summary:
We are seeking an experienced, personable and service-oriented Executive Assistant to join our XPM team. This role will report directly into the Office of the CEO and will provide daily support to Chief Product Officer and Senior Leaders of Engineering and Product Management. Individuals applying for this position must be self-starters, action driven, flexible, thrive in a fast-paced environment, excel at managing multiple priorities, and are successful in communicating with all levels within the organization.
This role is offered in the following locations: San Francisco, Bellevue or Utah on a hybrid office 3-4 days per week in office.
What You’ll Do:
- Excellent communication skills to interact with all levels of company personnel and external partners in a professional manner including C-suite level engagement.
- Responsible for a broad variety of administrative tasks including managing an active calendar of appointments; planning and scheduling meetings, appointments and conferences; completing expense reports; and arranging travel plans, itineraries, and agendas. In addition, support and manage IT related administration activities (e.g. creating shared folders, managing distribution lists with IT support, etc.).
- Partner with business leaders to organize team engagement activities.
- Strong interpersonal skills and attention to detail.
- Bias toward action with focus on urgency.
- Excellent organizational skills and analytical aptitude.
- Proven ability to always keep sensitive information confidential.
- Should be adaptable and flexible to make changes and meet deadlines in a dynamic environment.
- Ability to work both independently and in collaboration with manager / peers.
- Provide administrative support to other executives as well as the XPM team as needed.
- Proactive and solutions-oriented approach to planning travel with ability to anticipate issues and resolve quickly.
- Facilitate internal communications (e.g., distribute information and schedule presentations).
- Resolve any problems with travel or accommodations by communicating with all relevant parties.
- Perform other duties as assigned.
What You’ll Need:
- Minimum of 4 – 6 years’ experience as either an Executive or Administrative Assistant.
- Ability to interact with other C-level executives, board members, employees and customers.
- Handle sensitive and confidential information in strict confidence and demonstrate professional discretion at all times.
- Ability to work in a fast-paced environment with multiple projects and deadlines; experience working for a late-stage start-up company or technology company is a plus.
- Strong verbal and written communication skills.
