Position Overview
We are seeking an experienced, strategic, and operationally focused leader to join our team as Vice President of Operations. This role will be responsible for overseeing the day-to-day operations of the firm, ensuring all systems, workflows, and processes are optimized to support growth and deliver high-quality legal services. The VP of Operations will also provide financial oversight, including budgeting, financial forecasting, and operational expenditures. This dual role will work closely with the partners and leadership team to execute strategic initiatives that align with the firm's goals, drive efficiency, and ensure financial health.
Key Responsibilities
- Operational Leadership (30%)
Develop, implement, and oversee operational processes and workflows across all departments to ensure efficiency and effectiveness.
Manage the day-to-day operations of the firm, including intake, case management, human resources, and client relations.
Lead process improvement initiatives to enhance service delivery and client satisfaction.
Ensure compliance with all legal, regulatory, and firm-wide policies and procedures. - Case Management & Workflow Optimization (20%)
Oversee the integration and optimization of the firm's case management system (Filevine) to ensure all departments operate efficiently.
Ensure that workflows are well-documented, communicated, and tailored to meet the firm's unique needs.
Collaborate with team members to assess and adjust processes for maximum efficiency and scalability. - Financial Oversight & CFO Functions (25%)
Collaborate with the firm's financial team and fractional CFO team to monitor budgets, revenue forecasts, and operational expenditures.
Develop financial strategies that support the firm's growth, including cash flow management, cost control, and financial risk management.
Oversee vendor contract negotiations and optimize vendor services.
Provide financial reports and analysis to partners, including insights on the firm's financial performance and opportunities for cost savings.
Ensure compliance with tax regulations and reporting requirements, and manage relationships with auditors and financial institutions. - Team Leadership & Development (15%)
Lead, mentor, and manage cross-functional teams, ensuring employees have the tools and training necessary to perform effectively.
Foster a positive and collaborative work environment that promotes the firm's values and mission.
Partner with HR to implement talent acquisition, development, and retention strategies. - Lead Generation & Marketing Management (10%)
Oversee the firm's lead generation strategies, including the performance of marketing campaigns, SEO efforts, and digital marketing.
Work with external marketing vendors to ensure high conversion rates and cost-effective lead generation.
Collaborate with the firm's leadership to develop strategies for client base growth.
Qualifications
- Bachelor's degree in Business Administration, Finance, Operations Management, or a related field. MBA, CPA, or JD preferred.
- Minimum of 10 years of experience in operations and financial management, preferably within the legal or professional services industry.
- Proven leadership and team management skills with a demonstrated ability to foster a high-performing work environment.
- Experience with legal case management systems (Filevine experience preferred).
- Strong financial acumen, with experience in budgeting, financial forecasting, and risk management.
- Ability to implement operational systems, streamline workflows, and optimize financial performance.
- Excellent communication, organizational, and problem-solving skills.
- Ability to work in a fast-paced remote environment with occasional travel required.
