Job Summary:
In collaboration with the Leadership Team of each community, the Chief Operating Officer (COO) will provide strategic leadership and oversee the overall administration, management, and organizational planning for the respective communities (Sisters of the Presentation of the Blessed Virgin Mary, New Windsor NY; Sisters of the Divine Compassion, White Plains NY; Sisters of St. Francis of Peace, Haverstraw NY; Sisters of St. Ursula, Rhinebeck NY). The COO will play a critical role in ensuring the efficient and effective management of the communities’ resources, programs, and initiatives, while also supporting the overall mission, culture, and strategic organizational goals of each community. Although each community possesses its own unique mission, spirit and values, the COO will facilitate open and clear communication lines within each community, maintain oversight of assigned key departments (e.g. health care, finance, property management, food service, records management, archives, information technology and advancement) to ensure a cooperative working environment for all employees, participate in the development of the strategic initiatives, maintain oversight of assigned department directors, provide expertise when necessary, and offer communication and support to the Leadership Teams as needed.
Essential Functions:
- Provide support, oversight, leadership, and direction of all staff-supported operations as assigned by the Leadership Teams.
- Collaborate with the Finance Department to ensure accountability and adherence to established budgets. Focus will be on budget development, financial planning, and fiscal management to ensure the financial health and sustainability of the congregation.
- Supervise, monitor, and evaluate the activities and performance effectiveness of the various care roles that exist in each community. Collaborate with existing hiring managers to ensure that recruitment and selection processes are in place that ensure quality of care for the Sisters, ensure that staff members receive appropriate feedback via periodic performance reviews linked to criteria-based job descriptions, and that staffing levels agree with the established budget and service levels.
- Ensure that the elements of spiritual care, compassion and physical care of the Sister are integrated. This includes the Sisters residing at assisted living and residential skilled care facilities.
- Provide ongoing HR expertise with regards to compliance with federal, state, and local employment laws. Review and update the employee handbook as approved by the Leadership Teams. Ensure adherence to internal policies and procedures, maintaining transparency and accountability in all aspects of operations. Communicate changes to employees in a timely manner.
- Serve as a primary point of contact for each Leadership Team’s legal counsel.
- Build and develop a high-performing operational team, providing mentorship, coaching, and professional development opportunities to enhance individual and collective capabilities.
- Cultivate strong relationships with internal and external stakeholders, including community members, staff, donors, volunteers, and community partners, fostering collaboration and support for each community’s mission.
- Identify potential risks and opportunities for each community and develop strategies to mitigate risks while maximizing opportunities for growth and sustainability.
- Serve as a liaison between the Leadership Teams and directors and managers.
- Attend onsite meetings as necessitated by the COO role and as requested by the Leadership Teams.
- Acknowledge this position requires the utmost flexibility as it develops over time.
Qualifications:
The successful COO will be a self-starting, proactive, and collaborative individual who possesses the ability to function in a strategic, influential and effective manner. Outstanding written and verbal communication skills that convey information clearly and the ability to engage in constructive dialogue as well as a people-centric approach are essential. Flexibility and the ability to pivot in response to the operational needs of the respective community is critical. Must be able to manage multiple priorities and adhere to prescribed timelines.
- Bachelor’s Degree or higher required (Business Administration, Human Resources, or related field).
- A minimum of 10 years’ progressive experience with a religious community, healthcare organization, financial organization, human resources, or not-for-profit organization required).
- A minimum of 5 years demonstrated managerial experience required.
- A working knowledge and understanding of Catholic social teachings and the ability to align oneself with the mission of each community.
- Advanced knowledge of applicable employment law and regulations that apply to religious institutes and the individual characteristics of each religious community served by the COO required.
- Advanced computer skills, the ability to navigate social media platforms, and the ability to adhere to HIPAA and related regulations required.
- Experience with various health insurance programs, including provider networks required.
- LNHA, SPHR, SHRM-SCP or other related license/certifications preferred.
- Service mission orientation and the ability to learn, understand and embrace the individual mission and spirituality of each community required.
- Ability and willingness to travel by car to New Windsor NY, White Plains NY, Haverstraw NY, and Rhinebeck NY as well as to facilities and other locations where Sisters are in residence required.
- Availability for occasional evening or weekend work required.

Pay: $120,000.00 - $140,000.00 per year
