Transaction Manager
Job Description Summary
Responsible for the day-to-day transaction management for the highest volume investment sales team in Utah. Responsibilities include processing of purchase and sale contracts, database management, client coordination, managing team workflow and processes, transaction oversight, and team management. This role requires the ability to work in a fast-paced environment that is asset type fluid and organization driven.
Job Description
Prepare Marketing Materials
• Manage the team’s CRM (Customer/Company Relationship Management) software
• Research site details including, but not limited to: parcel zoning, ownership data, geographic data, major trends and employee data, occupancy data
• Collaborate with the deal to ensure timely preparation of materials
Marketing
• Manage all the team listing platforms and coordinate marketing timelines
• Track all listing activity and prepare marketing summaries
• Maintain a client database with all relevant contact and financial information
Prepare Documents
• Prepare purchase contracts and letters of intent for team review
• Prepare listing agreements and coordinate signatures with clients
• Conduct lease abstracts and prepare estoppels/SNDAs
• Client data coordination
• Manage transaction summaries and coordination of deal items
Accounting
• Prepare team financial data and maintain a database of past sales
• Deal processing and payment processing
• Input and tracking of team expenses
Team Management
• Manage, organize, and optimize the team’s database
• Track and manage new business
• Track and manage team deal flow, expense reports, and important dates
• Update team resumes and volumes
• Help coordinate team events
• Coordinate with operations director on team goals and mapping how to achieve those goals
• Manage all team accounts and subscriptions
• Keep the team on task and organized
Collaboration
• Collaborate with team brokers on team needs, client needs, and goals
• Collaborate with team’s marketing coordinator and financial analyst
Important Experience
• 5+ years of real estate or legal assistant experience
Additional Eligibility Qualifications
• Having a Utah real estate license is recommended, but not required
