At Stony Brook Medicine, our Patient Access Supervisors are responsible for completing varied, diverse and specialized duties to support the Revenue Cycle, Compliance and Patient Experience by accurately and efficiently completing tasks in areas of Registration, Financial Screening and Verification, and patient throughput.

The Patient Access Supervisor assigned to Bed Management and Inpatient Registration is a key member of the Patient Access Services team, leading teams responsible for inpatient throughput, working closely with Bed Coordinators and Administrators in a multi-disciplinary centralized throughput model. Ensures accurate and timely Pre-Registrations, Registration, and Pre-Arrivals for inter and intra-facility transfers following prescribed workflows. Monitors completion of inpatient registration and all regulatory documents/signatures are secured. Responsible for coordination between physicians, patient units and morgue personnel to ensure DAVE workflows are completed for timely decedent release.
Bed Management and Inpatient Registration Supervisor duties include, but are not limited to:
- Serves as the go-to Patient Access Department contact person in the Bed Management and Inpatient Registration department for the multi-disciplinary staff within the hospital and other facilities.
- Coordinates and supports activities to ensure excellence in throughput for inpatient and observation; including same day admits, urgent, emergency and transfers in collaboration with a multi-disciplinary team in the CTO Office.
- Works closely with Bed Coordinators and ADNs (nursing staff).
- Oversees and monitors reservations for direct admissions and coordinates with the multi-disciplinary team to assign appropriate level of care.
- Monitors pre-arrival, pre-registrations and registrations using various computer system resources for all Inter and Intra-facility transfers in accordance with prescribed workflows.
- Supports hospital wide requests for real time bed status, patient information, and room availability.
- Monitors completion of MRN and encounter combines and building physician using the HNA Combine Tool.
- Fulfills a supervisory role to monitor and coordinate staff work efforts to appropriately deploy staff to meet facility needs and to meet established par levels.
- Ability to assume completion of required registration and regulatory tasks when necessary.
- Ability to maneuver a work station on wheels through patient rooms.
- Ability to understand and meet operational needs and special assignments.
- Ability to work independently and prioritize tasks with minimal supervision in a multidisciplinary team structure.
- Solid knowledge of patient registration, insurance eligibility and proper coverage identification.
- Ongoing quality assurance and audit of employee registrations to determine training needs.
- Trains and guides new employees in proper completion of tasks in accordance with prescribed workflows.
- Monitor staff productivity and provide constructive feedback to staff with management guidance in real time to support throughput, compliance and financial objectives including accuracy, and eligibility.
- Appropriately relays issues identified as needing higher level intervention to management attention.
- Responsible for maintaining and collecting statistical data for audit, reports, special projects or assignments as requested.
- Responsible for submissions of fetal death documentation to a senior manager/director.
- Oversee timely completion of MCT encounters.
- Assigns each patient access representative to complete registrations in real time, to serve to prioritize the order of registrations, monitors the completeness, accuracy of registration, financial verification, etc. for each encounter.
- Performs timekeeping and other supervisory administrative duties for direct reports.
Qualifications:

- Associate degree with four years progressive experience in the healthcare industry.
- In lieu of degree, six years of demonstrated excellence working in a hospital, public health, or facility-based healthcare setting.
- Knowledge of insurance eligibility and proper coverage identification.
- Strong interpersonal skills are essential.
- Ability to work independently in a multidisciplinary team structure.
- The selected candidate will be required to work some holidays.
- Pass days are variable and weekend availability is required.
Preferred:
- Previous experience as a Patient Access Representative at a medical center is strongly preferred.
- Hospital bed management experience, and/or billing and registration experience.

Anticipated Pay Range:
The salary range (or hiring range) for this position is $66,770 - $81,391 / year.
The above salary range represents SBUH's good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate's validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.
Some positions offer annual supplemental pay such as:
- Location pay for UUP, CSEA & PEF full-time positions ($3,400).
