Job Description
The Mobile Rehabilitation Technician/ Admin Specialist reflects the mission, vision, and values of NM, adheres to the organization's Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.
Responsibilities:
- Performs scheduling, clerical, general, and/or patient care support functions within a Rehab department, under the direction of the Rehab Services Department Leader.
- Performs general clerical duties including mail processing, typing, faxing, photocopying, filing and processing medical records for the department.
- Answers phones in a polite manner, communicating messages appropriately and clearly, schedules outpatients and/or coordinates and maintains the Rehabilitation Unit patient therapy schedule. Backs up telephone reception as needed.
- Is customer oriented and able to communicate and work effectively with all levels of staff and department customers.
- Successfully takes on special projects as needed.
- Utilizes critical thinking skills to successfully demonstrate the ability to prioritize and complete work quickly as the needs of the department change.
- May coordinate with Senior/Clinical Coordinator/Manager/Director to process department invoices/purchase requests.
- Maintains appropriate levels of all supplies for the department.
- Independently manages the DAR (Department Appointment Report) in EPIC for the respective department.
- Schedules, confirms, and reschedules patients for visits at Rehabilitation Services and its satellite locations.
- Follows the necessary requirements of the department, which can include completion of questionnaires and coordination with other departments.
- Appropriately schedules new evaluations and follow up appointments, cancellations, rescheduling and wait list to maximize therapist productivity and time.
- Appropriately and efficiently "arrives" patients for process workflow.
- Completes end of day processing per EPIC policy.
- Obtains and updates patient demographic, insurance and billing information.
- May independently access the Unscheduled Orders Work Queues on a daily basis (during normal business hours) and maintains departmental expectations (all new orders will receive initial phone call within 24 -48 hours).
- May independently monitor and maintain other assigned Rehabilitation Work Queues based upon registration.
- May collect credit card payments and ensures all payment collection and documentation meets current standards.
- Schedules meetings and huddles as requested by therapist or Senior staff member.
- May independently make "new evaluation confirmation phone calls" to all new evaluations the day before the scheduled appointment and administering all associated paperwork for these patients.
- Assists patients to obtain orders not in the EPIC system.
- Understanding of scanning: possesses thorough understanding of the scanning process. This understanding includes the user's ability to recognize registration and clinical documents and perform accurate indexing within the electronic record.
- Manages faxing documentation to insurance companies and/or physician offices for authorization and signatures for Plan of Care as appropriate.
- Works with Coding, Patient Accounts and Financial Clearance Center to ensure all patient accounts are registered accurately for timely billing and management of patient accounts.
- Demonstrates competency registering patients within the EPIC system.
- Demonstrates confidence and success with multiple, high level, confidential and time sensitive tasks.
- Follows Rehabilitation process for accurately utilizing the referral process, including creating and linking referrals for accurate management of insurance authorization needs.
- Demonstrates computer competence with Microsoft applications as required for the position, including Outlook mail and calendar features, and the Rehabilitation Team site.
- Manages and operates office equipment safety and correctly.
- Contributes to opportunities and processes for continuous improvement. Demonstrates a willingness to mentor and train new staff and acts as an integral member of the team.
- Works with Integrated Services and Integrated Call System to maintain a safe and comfortable working environment for the department by processing calls and following up on requests for service on an on-going basis.
- Regulatory/Fiscal Requirements; Follows procedures to ensure insurance verification/eligibility, MFMs, Medicare as a Secondary payor Questionnaire (MSPQ), Coordination of Benefits (COB), Advance Beneficiary Notice (ABN), authorization/referrals and other responsibilities are addressed appropriately. Basic computer and telephone knowledge.
- Ability to communicate effectively in English, both verbally and in writing.
- Ability to assess and determine situations requiring an interpreter and to use interpreter services effectively.

- Able to multi task and adapt to technology changes.
- Maintains competency as appropriate and pursues ongoing learning through attendance at departmental and system in-services, workshops and conferences/seminars. Actively participates in organizational learning opportunities as appropriate.
- Is knowledgeable about the patients cultural, psychosocial, ethnic and religious needs and adjusts interventions when appropriate based on this knowledge.
- Maintains a professional and courteous manner and provides care/ communication in a manner consistent with customer satisfaction and service excellence strategies.
- Attends team/unit meetings and conferences as appropriate to facilitate coordinated care and communication.
- Participates on various interdisciplinary system teams as appropriate.
- Identification of population served by this position:
- Young/middle adult and older adult.
- Secondary populations are pediatrics and adolescents.
Qualifications:
Required:
- High School Diploma or equivalent or in pursuit of same
- CPR-required within designated time of start
- Physical ability to perform functional requirements as detailed
Preferred:
- Healthcare or Rehab related experience
- Familiarity with a healthcare environment
