What you'll be doing
The Family Office Administrator supports the Family Office Executives and Senior Relationship Managers in providing customized client service and is responsible for administrative services, interfacing with clients and organizational support.
How you'll succeed
Demonstrate a passionate commitment to serve clients in the accurate and highly productive completion of account administrative duties. Responsibilities include but are not limited to the following:
- Initiate and fulfill cash management requests including transaction review and verification of proper processing.
- Execute ad hoc bill-paying and set up of recurring payments.
- Research and resolve overdraft situations.
- Manage all aspects of gifting (cash, in-kind, gift letters, Crummey letters).
- Assist clients with CIBC Private Wealth Investor Dashboard.
- Manage clients’ quarterly tax payments and annual IRA contributions/RMDs.
- Prepare new account packets and open new accounts & sub-accounts.
- Coordinate asset transfers and manage cost basis updates on securities.
- Review fee collections and resolve collection issues.
- Complete first review of administrative reviews.
- Maintain/update client personal and account data on internal systems and files.
- Manage preparation of presentation materials for client meetings.
- Prepare customized client reports such as cash flow analysis and cash projection reports.
- Assist with tax coordination including interaction with tax preparers.
- Escalate issues when appropriate and offer solutions to problems.
- Develop understanding of individual client circumstances for assigned client relationships.
- Participate in client and internal meetings as directed by Family Office Executives.
- Master knowledge of client account holdings, requirements and operations.
- Provide administrative support (answer telephones, prepare correspondence, maintain files, maintain mailing lists).
- Act as back-up for Family Office Executive, Senior Relationship Manager and other Family Office Administrators.
- Mastery of the following systems: One SEI, ORS, Revport.
- Provide integral support for client service teams and special projects.
- Achieve and sustain a balanced approach to managing risk by ensuring compliance controls and processes (regulatory, compliance, fiduciary) are integrated into day to day activities.
- Contribute to a strong organizational culture through positive, collaborative behaviors resulting in client and employee engagement.
- Pursue continuous improvement and be a problem solver by anticipating obstacles, developing plans to overcome and looking for ways to improve.
- Interfacing with High Net Worth Clients and their intermediaries and external Advisors, CIBC Specialists (Wealth Strategies, Investment, Trust, Tax, Operations, Legal, Compliance, Marketing), and External Service providers (accountants, attorneys, custodians, insurance providers).
Who you are
- Bachelor’s degree or 2+ years’ experience in trust and/or investments.
- Proficient with Microsoft Word, Outlook, Excel, PowerPoint and Adobe.
- Exceptional client service commitment.
- Strong interpersonal, written and verbal communication skills with the ability to use these skills to communicate with high net worth clients, intermediaries and colleagues at all organizational levels.
- Flexibility and adaptability to meet the changing needs of our clients, Relationship Managers and Client Service Managers.
- Strong organizational skills sufficient to complete work according to established schedule and timeframes, while accommodating given priorities.
This role is onsite and all applicants must reside in Georgia. There is no sponsorship or relocation assistance being offered for this role.
At CIBC, we offer a competitive total rewards package. This role has an expected salary range of $65,000 - $75,000 for the Atlanta, GA market based on experience, qualifications, and location of the position. The successful candidate may be eligible to participate in the relevant business unit’s incentive compensation plan, which also may include a discretionary bonus component.
