The Greater Cincinnati Veterinary Specialists, or GCVS, is a specialty and referral hospital that provides emergency and urgent care. Our referral veterinarians are all board-certified in their field. Our technician and support team are tenured and highly capable of supporting our veterinarians with any patient needs. We offer a wide range of services including internal medicine, dermatology, surgery, and rehabilitation. Our Internal Medicine department consists of two Board-Certified Veterinary Internists. We provide neurology, cardiology, oncology, and internal medicine services such as ultrasound, CT imaging, video otoscopic services, endoscopy, colonoscopy, and intradermal allergen screening testing. Our Surgery Service consists of a Board-Certified Surgeon offering soft tissue, orthopedic, and neurologic surgery options. Our Emergency Department handles emergency cases, with consultations available as needed on evenings, Fridays, and weekends.
A courteous and efficient veterinary practice manager is needed to coordinate and manage all office administration procedures. Responsibilities include ordering, inventory management, coordinating schedules, resolving conflicts among staff, training staff, and answering pet owners' questions regarding clinic policies, appointment availabilities, and treatment costs.
To be successful as a veterinary practice manager, you should be patient, detail-oriented, and adept at multitasking. An outstanding veterinary practice manager should communicate effectively with pet owners and veterinary staff while demonstrating exceptional management, organizational, and customer service skills.
Job duties include, but are not limited to:
- Make recommendations to the veterinary regional manager concerning personnel matters such as staffing needs and performance.
- Provide on-the-job training to develop employee skills and discuss performance requirements.
- Recruit, hire, and onboard staff members that fit within the culture and needs of the hospital.
- Market the hospital to prospective customers and the veterinary community by attending relevant local and regional events.
- Resolve employee complaints and maintain effective communication.
- Work well with team members and ensure actions support the hospital and practice philosophy.
- Knowledge of hospital procedures for assembling patient records and recording veterinary practitioners’ orders.
- Knowledge of veterinary terminology to accurately enter information into patient records.
- Obtain information from owners to complete records and relay practitioners’ orders concerning animal care.
- Ensure pet owners' complaints are promptly addressed.
- Prepare employee work schedules and manage office staff.
- Demonstrate strong leadership, communication, and motivational skills.
- Knowledge of English language structure and composition.
- Show unbiased judgment when managing personnel issues.
- Answer telephone calls in a polite and professional manner.
- Establish an inventory control system to assure adequate stocks of supplies.
- Manage hospital policies, including DEA/Controlled Substances and OSHA.
- Ensure payroll is completed accurately and timely.
- Establish good relationships with vendors.
- Notify veterinary staff of emergency cases.
- Interview and train office staff as needed.
- Perform other duties as assigned.
Qualifications
Qualifications:
- Experienced or Certified Veterinary Practice Manager with a minimum of 1-year management experience preferred or 3+ years veterinary experience preferred.
- Knowledgeable in veterinary medicine terminology and hospital operations.
- Compassionate, calm, team player, multi-tasker, and strong communicator.
- Highly organized with computer skills.
- Self-starter with a desire to advance knowledge and skills.
- Open availability with flexibility to change hours based on hospital needs.
