Job Summary:
Responsible for scheduling faculty/preceptors for precepting, residency, nursing homes, faculty in-patient hospital coverage, and other services as needed. Communicates with physicians, physician office staff, residency staff, practice managers, and preceptors as needed. Coordinates schedule based upon physician privileges, procedure descriptions, scheduling rules, and insurance requirements. Efficiently schedules faculty per indication and priority, rearranging schedules across various departments and practices within the Care New England Health System, and satellite locations when needed to accommodate urgent situations. Interacts with multiple departments and practices across the Care New England system to ensure daily schedules meet maximum capacity and appropriateness. As need arises, scheduler will communicate last minute precepting scheduling needs to accommodate any overbooking scheduling with various departments and practices across the Care New England Health System. Fosters a team approach towards achieving the overall goals of the CNEMG departments. The role would also be cross-trained in additional tasks as needed to ensure smooth running of CNEMG departments.
Duties and Responsibilities:
- Utilize scheduling system to appropriately schedule faculty for coverage of the Physician Practice, nursing home, inpatient service and other faculty coverage as needed allowing for maximum utilization of department and practice services across the Care New England Health System.
- Acts as liaison with physicians, department staff, or practice staff, to resolve scheduling conflicts and/or overcome any scheduling barriers that may result in delays. Coordinates and adjusts schedules to recover unscheduled staffing changes for maximum department utilization.
- Communicates with physicians to ensure a request for service has been accurately and appropriately completed required to schedule faculty within the relevant hospital information system.
- Maintains physician privileges information and procedure lists to ensure appropriate scheduling of procedures. Manages physician block schedule time under the direction of department and practice supervisors across the CNEMG departments.
- Promotes exceptional customer service with physicians, physicians’ office staff and ancillary departments.
- Preserves and protects patient's rights to confidentiality.
- Performs other related duties as requested.
Requirements:
- A high school diploma required.
- Two years’ experience in a medical setting and customer service environment required.
- Certificate or working knowledge of medical terminology and strong oral communication skills are required.
- Minimum typing speed of 40 words per minute (wpm) with a working knowledge of personal computers, ability to prioritize and perform multiple duties simultaneously, ability to handle a high volume of calls and exhibit strong organizational skills are required.
- Must be able to adapt to continual process changes. Willing to work additional hours and change work schedule as need arises.
