Job Title: Patient Service Representative
Department: Mental Heatlh Clinic - Outpatient (MHC)
Shift: 1st / 9:30am-6:00pm
JOB SUMMARY:
Performs clerical duties and facilitates the smooth and professional functioning of the Department of Behavioral Health Services including the Mental Health Clinic and Inpatient Psychiatric Unit.
ESSENTIAL RESPONSIBILITIES:
Manages the smooth functioning of the Mental Health Clinic waiting area, coordinates meetings and group scheduling, researches issues and conducts other projects as delegated by the Director.
Makes appointments and assists with registering patients for Outpatient Mental Health Services as needed.
Answers the telephone and greets patients and visitors courteously and promptly.
Collects all co-pays from patients, maintains records of such payments and reconciles with hospital business office.
Obtains prescription prior authorizations for patients and submits orders to pharmacies.
Establishes, maintains and revises record keeping and filing systems. Classifies, sorts, and files correspondence, records and other documents.
Calls transportation for patients as needed.
Performs a variety of office procedures, i.e., data input, typing, filing, and record keeping accurately and efficiently.
Answers inquiries concerning activities and operations of department by referring to and interpreting policies and procedures.
Opens, sorts, reviews and distributes mail and prepares responses to routine inquiries.
Orders all necessary office and medical supplies. Handles purchase requests and work requests.
SKILLS AND ABILITIES:
- Excellent organizational and prioritizing skills.
- Microsoft Office (Word, Excel, PowerPoint, Access)
- Demonstrates proficiency in all state-of-the-art office equipment.
- Ability to perform detailed assignments, work efficiently under pressure, and relate to hospital staff in a positive customer service approach.
- Demonstrates excellent verbal and written communication skills.
- Demonstrates flexibility in time schedule to accommodate needs of Outpatient Mental Health Services and Behavioral Health Services.
- Must show initiative, judgment and resourcefulness along with analytical skills.
- Ability to be courteous and tactful in dealing with patients and their families.
- Ability to respond to difficult patients over the telephone and in the waiting room.
- Ability to maintain confidentiality.
QUALIFICATIONS: Education:
- High school graduate required.
- Advanced preparation in secretarial/business courses preferred.
- Current AHA Healthcare Provider CPR certification or equivalent within 3 months of hire required.
Experience:
- Minimum of two years experience in clerical or receptionist position required.
- One year of previous experience in Mental Health or related field of human service development with supervision preferred.
- Previous experience in a hospital environment preferred.
