We are looking for a Clinical Research Administratorwho will be responsible for coordinating budget review and approval, coverage analysis preparation, Epic study creation along with patient billing review, and study monitoring/auditing for clinical trials and other clinical research studies conducted by university faculty. These employeesdevelopand administerprocedures designed to comply with appropriate regulations relating to the administration of clinical research. This requires a knowledge of how a research study works, and how to set up the correct billing variants which may be included such as patient charges, insurance claims, and costs passed off to the research project's budget. UTHealth is preparing to transition to Epic's electronic health record software, so any experience with Epic will be a plus for candidates. The clinical research administrators will help load studies into this new program and will have to make sure it all works as it is supposed to as outlined by study protocols and billing requirements. They will also perform periodic audits of these processes, and also train clinical staff on how to correctly enter charges or research procedures.
This is a full-time role that is classified as exempt. You will be eligible for all UTHealth benefits including healthcare coverage and participation in a pension plan run by the State of Texas. Your office will be in the heart of the Texas Medical Center in our University Center Tower located at Fannin and Pressler. This building is located on both Metro's bus and rail lines and has many options for parking or commuting. Currently this staff works a hybrid schedule which consists of two days in the office and three working remotely. During training you may be in the office more frequently but should be able to move to this hybrid model after you are up and running.

Position Summary:
Responsible for the administrative review, negotiation, and acceptance of contracts and budgets for clinical research activities at the University. Develops and administers procedures designed to comply with appropriate regulations relating to the administration of clinical research contracts for the interpretation and application of such procedures and regulations. . Facilitates the financial analysis and monitoring of clinical trials and clinical research budgets, contracts, coverage analysis, sponsor billing, and third-party payer billing. Assists in the planning and coordination of review, validation, and analysis of clinical trials and clinical research for the organization.
Position Key Accountabilities:
1. Assesses the administrative and contractual requirements of the clinical research
2. Ensures proper identification of billing responsibilities through completion of billing risk assessments and review and approval of coverage analyses.
3. Assesses the administrative and contractual requirements of the funded research to negotiate proper terms and conditions based on the scope of work.
4. Reviews and analyzes documentation related to the management of clinical research including confidentiality disclosure agreements, contracts, sponsor budgets, coverage analysis, financial reports, and clinical research billing.
5. Negotiates and prepares complex clinical research project contracts and clinical research coverage analysis.
6. Reviews budgets and related documents for clinical research projects to ensure compliance with sponsor, State, UT System, and institutional requirements.
7. Acts on behalf of the university and serves as liaison between the faculty and sponsors during contract negotiation and by providing justification, documentation, and policy/guideline interpretation to stakeholders.
8. Interacts with and builds good working relationships with all parties involved in the management of clinical research.
9. Analyzes financial documents and prepares clinical trial account closeouts.
10. Coordinates and schedules clinical research and clinical trial reviews and monitoring.
11. Coordinates project account setup with the post-award team.
12. Prepares reports outlining the review and validation of clinical research/trial projects including monitoring results, recommendations for corrective actions, and training needs.
13. Meets with researchers, faculty members and departmental administrators to provide updates and guidance on clinical research finance and administration.
14. Presents at on-campus trainings and forums to disseminate information related to changes in regulations or university policy to researchers, faculty, and departmental administrators.
15. Performs other duties as assigned.
Minimum Education:
At least a Bachelor’s degree in Healthcare Administration, Business, Finance, Accounting, or related degree.
Minimum Experience:
At least Three (3) years of related experience working with clinical research.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Residency Requirement:
Employees must permanently reside and work in the State of Texas. This is a hybrid role that requires coming into the office at least two days a week.
