Description
Position Summary:
The Registration and Records Specialist is responsible to perform office services related to in-person and telephone requests for service, handling paperwork for individuals coming in for counseling services. General responsibilities include checking in clients, handling payments for services, answering the phone, and functions related to data entry and establishing client records in accordance with contract requirements when services are requested or delivered.
Responsibilities:
- Perform functions related to Registrations and Records Department to ensure continuity of services, access, and review standards are met according to contract
- Assure that client walk-ins and phone calls from persons requesting counseling services are promptly returned.
- Screen for urgency and appropriateness of services, make referrals when other services are more appropriate
- Assign cases for intake-assessment by clinicians, taking into account the clients needs, insurance requirements, and therapist expertise and availability
- Register clients and maintain client information in the MIS
- Verify eligibility and benefits for all insurance clients
- Maintain and update all referral lists
- Work with support, accounting, billing and clinical staff to ensure continuity of client services
- Coordinate with Records and Registration staff to ensure access and review standards are being met according to the contract requirement
- Maintain records and outcome data per the agency policy
- Maintain positive working relationships with referral sources and community entities
- Assist with the preparation for audits and administrative reviews, as requested
- Scan client records and documentation accordingly into the MIS
- Process request for Medical Records according to Agency protocol and HIPAA
- Complete functions related to clinical records and information systems, as directed by Supervisor
- Meet regularly with Supervisor and the Records and Registration Team
- Back up Front Desk duties
- Perform other duties as assigned
Job Requirements:

Physical Requirements:
This position normally requires the physical demands of sitting, standing, walking, bending, lifting or performing other work requiring low physical exertion, talking, hearing and adequate vision on a regular basis to perform the job requirements. These physical demands are required up to 80% of the time.
Non-Physical Requirements:
Education
- Bachelors Degree preferred
- Associates Degree or High School Diploma required
Experience
- Minimum 1 year experience providing general office support in a health care related setting

- Knowledge of Community Mental Health Systems and requirements
- Knowledge of community resources helpful
- Excellent client and consumer communication skills
- Good verbal and written communication skills
- Ability to manage high detail tasks
- Ability to work independently and as a team member
- Data entry and other computer skills
- Strong interpersonal skills
- Flexibility in scheduled work hours to accommodate evening hours as necessary
Licensure, Registration, Certification
- Valid Washington drivers license and agency minimum required liability insurance
Employment is conditional upon:
